About the Role

We are looking for a highly organised, proactive Personal Assistant & Coordinator for the Office of the CFO. This is a combined role: part dedicated PA to the CFO — owning their diary, travel, and meetings — and part coordinator for the finance function, keeping the team's schedules, meetings, offsites, and travel running seamlessly. This is personal and team administration for the CFO's office, not general office management.

Reporting to the CFO, you will support senior leadership day to day. You don't need to do finance work — but because you'll be close to the finance function, we're looking for someone who has worked with senior finance executives before, understands how they operate, and can confidently handle expense reimbursements and corporate card reconciliation. What You'll Do

  • Finance Team Coordination

    • Coordinate the finance team's schedules and calendars, keeping key meetings, deadlines, and priorities aligned across the function.

    • Organise and coordinate finance team meetings, offsites, and events — venues, logistics, agendas, and materials end to end.

    • Arrange travel and itineraries for the finance team, including flights, accommodation, and visas.

    • Act as the central point of coordination for the Office of the CFO, keeping the function organised and running smoothly.

    Support to the CFO

    • Own the CFO's diary and calendar management, scheduling and prioritising meetings across multiple time zones and protecting their time.

    • Arrange the CFO's complex domestic and international travel — flights, accommodation, visas, and detailed itineraries.

    • Prepare and coordinate the CFO's meetings, including board and investor meetings: agendas, materials, minutes, and follow-up actions.

    • Manage the CFO's inbox, correspondence, and communications where appropriate, handling highly sensitive and confidential information with discretion.

    • Act as a trusted gatekeeper and first point of contact for the CFO, keeping priorities on track and pre-empting what's needed.

    Finance-Adjacent Support

    • Process expense reimbursements for the CFO and senior leadership, ensuring receipts and documentation are complete and accurate.

    • Manage corporate card reconciliation — matching statements to receipts and coding spend for the finance team to process.

    • Work smoothly alongside senior finance executives, understanding their priorities and helping keep their day running efficiently.

What We're Looking For

  • Essential

    • Proven experience as a PA/EA to a senior executive, ideally with experience coordinating a team's schedules, meetings, and travel.

    • Experience working with or supporting senior finance executives (e.g. a CFO or finance leadership team) — comfortable in a finance-adjacent environment, though no finance/accounting background is required.

    • Confident handling expense reimbursements and corporate card reconciliation.

    • Exceptional organisation and time-management skills, with the ability to juggle competing priorities calmly.

    • Excellent written and verbal communication and a warm, professional manner.

    • High level of discretion and trustworthiness when handling confidential information.

    • Strong proficiency with everyday tools (e.g. Google Workspace / Microsoft Office, calendars, expense and travel platforms).

    • A proactive, can-do attitude and genuine enjoyment of a fast-paced startup environment.

    • Based in or able to commute to central London for a fully on-site role.

    Desirable

    • Experience supporting a founder or C-suite executive in a high-growth startup or scale-up.

    • Familiarity with expense and card platforms

    • Experience organising offsites, team events, and travel, and coordinating across multiple time zones.
