Job Description:

Job Summary

The Project Coordinator at Hitachi Rail Malaysia Sdn Bhd will support project managers and teams in planning, executing, and closing projects, ensuring they are delivered on time, within scope, and budget. This role involves administrative support, communication facilitation, and tracking project progress.

Job Responsibilities


Assist Project Managers in developing and maintaining project plans, schedules, and budgets.
Coordinate project meetings, including scheduling, preparing agendas, taking minutes, and distributing action items.
Monitor project progress, identify potential risks, and escalate issues to the Project Manager as needed.
Prepare and update project documentation, reports, and presentations.
Facilitate communication between project stakeholders, including internal teams, clients, and vendors.
Manage project-related administrative tasks, such as procurement requests, expense reports, and travel arrangements.
Track and manage project deliverables, ensuring timely submission and quality.
Support the Project Manager in resource allocation and tracking.
Ensure adherence to company project management methodologies and standards.
Assist with the preparation of project closure documentation and lessons learned.

Job Qualifications**

Bachelor's degree in Business Administration, Project Management, Engineering, or a related field.
Minimum of 2 years of experience in a project coordination or administrative support role, preferably within the rail, transportation, or engineering industry.
Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills in English. Proficiency in Bahasa Malaysia is a plus.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., MS Project, Jira).
Ability to work independently and as part of a team.
Strong problem-solving skills and attention to detail.
Proactive attitude and a willingness to learn.
