On-Site Wedding & Event Sales Manager

The On-Site Wedding & Event Sales Manager is responsible for generating wedding and social event business while delivering exceptional client experiences from initial inquiry through event completion. This on-site leadership position requires a daily presence at the resort to cultivate client relationships, oversee event execution, collaborate with operational departments, and ensure exceptional guest satisfaction. The role combines sales, event planning, operational coordination, reporting, and vendor management to maximize revenue, strengthen client relationships, and deliver exceptional events.
ESSENTIAL DUTIES &RESPONSIBILITIES:
Sales & Business Development
- Develop wedding and social event business through networking, referrals, marketing initiatives, bridal shows, community outreach, and online inquiries.
- Conduct venue tours, qualify prospects, prepare proposals, contracts, pricing, and Banquet Event Orders (BEOs), and negotiate agreements that maximize revenue and guest satisfaction.
- Maintain accurate sales leads, prospect activity, client communications, bookings, event details, forecasts, and CRM records.
- Maintain client relationships from initial inquiry through post-event follow-up, including evenings, weekends, and holidays as business needs require, to encourage referrals and repeat business.
- Prepare and deliver formal weekly sales presentations to the Director of Food & Beverage, General Manager, and executive leadership highlighting booking pace, pipeline activity, revenue forecasts, performance metrics, opportunities, and strategic recommendations.
Event Planning & Execution
- Serve as the primary client contact from booking through event completion.
- Meet personally with clients before, during, and after events to ensure expectations are met and guest satisfaction is achieved.
- Coordinate timelines, menus, layouts, vendors, and resort departments to ensure seamless execution.
- Oversee rehearsals, event setup, event execution, and breakdown while maintaining resort quality standards.
- Ensure contracts, BEOs, and banquet/event processes comply with company policies.
- Resolve operational issues proactively while maintaining an exceptional guest experience.
Leadership Collaboration
- Partner with resort leadership to deliver exceptional guest experiences.
- Collaborate with the Director of Food & Beverage on menu development, banquet packages, pricing strategies, and cost management.
- Develop and maintain relationships with preferred vendors to ensure quality service and successful events.
- Support bridal shows, marketing initiatives, community networking, and resort promotional events.
- Partner closely with the Resort Rental and Revenue teams to maximize room revenue and align event sales with occupancy goals.
- Participate in departmental meetings and assist with team training as assigned.
- Other duties as assigned by management.
Administrative & Reporting
- Maintain accurate contracts, BEOs, event documentation, forecasts, reports, and CRM records.
- Monitor booking trends, banquet revenue, and event performance to identify opportunities for revenue growth and ensure budget goals are achieved or exceeded.
- Ensure compliance with company policies, contractual obligations, and resort standards.
QUALIFICATIONS:
- Bachelor's degree in Hospitality Management, Business, Marketing, Event Management, or related field preferred.
- Two to five years of hospitality sales, wedding sales, catering, event planning, or hotel operations experience.
- Demonstrated success in sales, relationship management, event coordination, and customer service.
- Experience preparing and presenting executive-level business updates and sales reports.
- Valid driver's license with the ability to travel locally as needed.
- Daily on-site presence at the resort is required.
KNOWLEDGE, SKILLS &ABILITIES:
- Strong sales, negotiation, communication, presentation, and interpersonal skills.
- Executive-level presentation skills with the ability to communicate performance, forecasts, and strategic recommendations.
- Knowledge of banquet operations, food and beverage pricing, cost management, vendor relations, and event logistics.
- Strong organizational, analytical, problem-solving, and time-management skills.
- Ability to manage multiple events simultaneously while maintaining exceptional attention to detail.
- Proficiency with Microsoft Office and event management platforms such as Caterease, Proposal Path, Delphi, or similar systems.
- Ability to work independently while collaborating effectively across departments.
- Ability to work flexible hours, including evenings, weekends, and holidays.
PHYSICAL REQUIREMENTS:
- Ability to stand and walk for extended periods during events.
- Ability to lift and carry up to 25 pounds.
- Ability to work indoors and outdoors as business needs require.
- Ability to move throughout the resort while overseeing multiple event locations.
