About this role
Purpose of the Job
As the Project Manager you will be responsible for the complete delivery of retail fixture projects across APAC markets, from initial client brief through production, shipping and installation to final invoicing. Projects range from full store fit-outs and shop-in-shop programs to smaller re-orders and fixture rollouts for international fashion brands.
You will act as the main point of contact for the client, take ownership of client and supplier relationships, and coordinate all phases of each project to ensure on time delivery, high quality and adherence to budget. You will work closely with internal teams (production, concept/engineering, logistics, finance) and with manufacturing partners primarily based in China.
This role operates on a blended basis between the Hong Kong office, client sites across the region and home as necessary.
Key Responsibilities
Project delivery
- Take briefs from the client including full specification details and deadline dates, and manage projects end to end from brief through invoicing.
- Own the full project lifecycle: kick-off, drawing and prototype development, supplier selection, production tracking, QC, freight, customs clearance, installation and handover.
- Produce detailed specifications and briefs for suppliers based on client requirements and brand guidelines.
- Negotiate costings and lead times for each project and select the most appropriate supplier.
- Coordinate site surveys ahead of installation, verify fixture fit and site constraints, and feed findings back to production where adjustments are needed.
- Manage sea and air freight from China into APAC markets (Taiwan, Hong Kong, Macau, Singapore, Malaysia, Japan and others), including shipping documentation and customs requirements.
- Ensure client-required certifications and compliance documentation are collected (e.g. material certifications such as FSC, fire ratings, test reports).
- Monitor project quality through factory inspections and pre-shipment QC, troubleshoot unexpected issues and put preventative measures in place.
- Ensure all activity is recorded in the designated company tools and invoicing procedures are followed.
Client and account management
- Develop and maintain strong relationships with key client stakeholders at all levels.
- Provide technical input and advice on fixture materials, finishes and construction; suggest alternatives and value engineering where possible.
- Prepare client-facing quotations, timelines and project updates; communicate risks early and honestly.
- Support tender submissions and RFQs, including cost breakdowns and landed cost calculations.
- Deliver services to meet and exceed contracted SLAs and measure client satisfaction, taking action where needed.
Commercial
- Agree and manage project budgets and P+L; maximise profit through performance analysis.
- Work with the regional lead to identify new business opportunities within the account and the wider region.
- Prepare presentations, reporting and account administration as part of the team.
- Ensure compliance with regulatory and company policies.
Knowledge, Skills + Experience
- Proven experience in project or account management within retail fixtures, store fit-out, furniture manufacturing, shopfitting or POS/display production. Fixture or fit-out experience is essential; pure print backgrounds are not a fit.
- Experience managing manufacturing suppliers in China, including factory visits, QC and production follow-up.
- Working knowledge of sea/air freight, Incoterms and customs processes for APAC markets.
- Ability to read technical drawings and understand materials, finishes and construction methods (metal, wood, laminates, powder coat, plating).
- Experience in a client-facing role within a contracted environment with strict SLAs and KPIs.
- Experience troubleshooting project issues under time pressure and implementing preventative measures.
- Numerate with strong commercial understanding; comfortable building quotes and landed cost models.
- Able to manage multiple projects simultaneously with strong prioritisation in a high energy environment.
- Professional, courteous and calm under pressure; confident advising clients in meetings.
- Fluent English required; Cantonese and Mandarin strongly preferred for supplier and local market communication.
- Willing to travel within the region for site surveys, factory visits and installations, occasionally outside normal working hours.
- Proficient with Microsoft Office; experience with ERP/project tools is an advantage.
