Position Purpose Summary:

The Branch Administrative Assistant reports directly to the Branch Manager and supports a wide range of branch office management activities. The role answers phones, works with customers and vendors, maintains store supplies, manages employee timecard entries, and uses the ERP system to support receiving, reporting, inventory, transfers, payments, warranties, and document processing. The position also assists customers with account balance information and invoice-copy requests.

Key Responsibilities & Tasks: 

• Answer phones and interface professionally with customers and vendors.

• Maintain store and office supplies.

• Manage employee timecard entries.

• Scan and process receiving paperwork in the ERP system.

• Run various operational reports.

• Assist with inventory cycle count paperwork as needed.

• Process intra-branch store transfers, customer payments, and vendor warranties.

• Scan and process invoice packing slips and delivery manifests.

• Provide customers with account balance information and retrieve copies of invoices.

Education & Experience: 

Certifications:

• No certifications specified.

Educational Requirements:

• Required: High school diploma or equivalent.

• Preferred: HVAC or wholesale distribution experience is a plus but not required.

Years of Experience:

• Required: Two years of work experience in an office setting.

Knowledge / Skills / Abilities:

• Basic computer operation knowledge and experience.

• Working knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.

• Ability to read invoices, catalogs, stock numbers, and descriptions to accurately identify items.

• Strong data entry and typing skills.

• Strong communication and interpersonal skills.

• Ability to use an ERP system for branch business workflow processes.
