ABOUT THE JOB
The Leave Administrator is responsible for the day-to-day administration and coordination of the company's leave programs. This position serves as a primary point of contact for employees, managers, Human Resources, and the company's third-party leave administrator regarding routine leave-related matters.
The Leave Administrator manages leave requests from initial intake through return to work, maintains accurate leave records, coordinates required documentation and employment status changes, and ensures timely and accurate processing of leave-related activities. Complex or escalated matters are referred to the Leave Specialist for review and guidance.
WHAT YOUR DAY WILL LOOK LIKE
- Administers and coordinates company leave programs, including FMLA, short-term disability, parental leave, military leave, jury duty, personal leave, and other company-approved leave programs.
- Serves as a primary point of contact for employees and managers regarding routine leave questions and processes.
- Coordinates with employees to obtain required documentation and communicates eligibility, leave requirements, deadlines, and return-to-work expectations.
- Works with the company's third-party leave administrator to ensure timely and accurate processing of leave requests and required documentation.
- Monitors leave activity from initial request through return to work and follows up on outstanding documentation, deadlines, and required actions.
- Coordinates return-to-work activities and ensures required documentation is received and processed appropriately.
- Coordinates leave-related employment status changes and updates with payroll, benefits, HRIS, and other appropriate departments.
- Maintains accurate and confidential leave records and ensures documentation is properly maintained in accordance with company procedures.
- Prepares and provides routine leave-related reports and assists with tracking leave activity and metrics.
- Identifies questions, unusual circumstances, or complex leave matters and escalates them to the Leave Specialist for review and guidance.
- Follows established leave policies, procedures, and processes and promptly communicates potential concerns or inconsistencies to the Leave Specialist.
- Provides excellent customer service to all internal and external customers.
- Assists with leave-related projects, audits, reporting, and process initiatives as directed by the Leave Specialist.
- May be required to drive a company vehicle.
- Regular and reliable attendance is required.
- Follows all company policies and procedures.
EDUCATION & EXPERIENCE
- Two years of Human Resources experience is required.
- Previous experience administering FMLA, disability, and leave programs is preferred.
- Experience working with third-party leave administrators is preferred.
- Experience with HRIS systems and leave tracking systems is preferred.
SKILLS & QUALIFICATIONS
- Working knowledge of FMLA and leave administration practices.
- Working knowledge of federal and state employment laws affecting leave administration.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Strong customer service skills.
- Ability to maintain strict confidentiality.
- Proficiency with Microsoft Office, including Excel.
- Ability to follow established policies and procedures and communicate them effectively.
- Ability to recognize issues requiring escalation and seek guidance when appropriate.
- Communicating in Spanish is a valuable skill at Helena.
- Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB
The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
