Georgia State University’s Department of Auxiliary and Support Services is seeking to hire an experienced Mail Services Specialist.

WHAT WILL YOU DO:

Under the general direction of the Assistant Director, Mail and Copy Services, the Mail Services Specialist is responsible for processing incoming and outgoing departmental mail using industry-standard equipment.

DUTIES AND RESPONSIBILITIES INCLUDE:

 

  • Receives incoming mail and packages from the United States Postal Service (USPS), and interdepartmental mail. Sorts, and delivers mail and packages to departments. Picks up outgoing mail and packages from departments and returns to mail room for processing. Processes the mail according to established time frames and service standards.

 

  • Ensures all outgoing mail and packages are properly labeled for mailing, with the correct postage amount, utilizing automatic postage meter machines. Reviews and sorts all outgoing mail and packages by vendor depending on the classification and the method for processing USPS and other outsourced vendors in order to maximize postage discounts. Picks up incoming USPS mail and delivers outgoing bulk mailings to the USPS on behalf of departments, as required. Processes the mail according to established timeframes and service standards.
  • Verifies and corrects misdirected mail using all available resources. Keeps supervisor advised of departmental or employee moves or requests and other related matters. Lifts large bundles of mail, packages, and shipments of paper. Participates in cross-training and adheres to all safety procedures.
  • Handles time-sensitive, confidential, urgent packages and documents in accordance with established polices and procedures. Maintains required logs and reporting documentation.
  • Oversees the use of the package tracking system, including ensuring the operation of the handhelds with scanners as well as the vendor-provided software. Oversees other technology that may be added in the future. Responsible for the training of the systems’ use among Mail Services and PawPrints teams.
  • Serves as the lead in the absence of the Assistant Director, Mail and Copy Services. Responsible for answering questions and assisting with training other Mail Clerks.
  • Promotes excellence in customer service. Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude. Lifts up to 55 pounds. Performs other duties as assigned.


Minimum Hiring Requirements:

  • High school diploma or GED with three years of experience in mail services, or a combination of education and related experience.

Preferred Hiring Qualifications:

  • Preferred background in operations of a USPS Post Office.
  • Great customer service and verbal and written communication skills.
  • Knowledgeable about the use of mail processing equipment.
