Georgia State Law currently seeks applicants for the position of Administrative Specialist II.  Reporting to the College’s Business Affairs Manager, the Administrative Specialist provides administrative management and programmatic support for full and part-time faculty, academic programs, and various faculty committees.  Daily office operations include coordination of meetings and events; database management; record-keeping; expenditure review; and management of registration, travel, and reimbursement processes.  The Administrative Specialist may be expected to perform cross-functional duties for other areas of the College.  

The employee will be expected to work a schedule of 8:30 am to 5:15 pm Monday-Friday, with a meal break, and may be asked to work occasional additional hours to support specialized events.  One remote workday per week will be considered after the first 3 months of employment.

HERE IS WHAT YOU WILL DO

Essential duties of this position include, but are not limited to:

 

  • Provides administrative management for a select group of the College’s full-time faculty and supports selected part-time faculty.   Manages travel accommodations program-related logistics.   Coordinates faculty expense reimbursement and payment of invoices.  Provides reconciliation of monthly expenditures and coordinates budget adjustments through appropriate departmental and University personnel.
  • Serves as an initiator of payment requests and purchase orders and ensures the proper routing and follow-up of contract and consultant agreements. Works closely with faculty to facilitate the timely and accurate processing of business transactions.  Utilizes Panther Mart and Web Invoicing system for specific process management.
  • Prepares memoranda, teaching materials and exams, general correspondence, and other documents. Maintains records and filing systems.  Provides administrative support for faculty search and standing committees.  Coordinates administrative aspects for events, conferences, symposia, workshops, and speaker events.
  •  In addition to the aforementioned responsibilities, this position will be expected to perform other duties as assigned.

USG Retirement - Pension

  • Teacher Retirement System -- TRS is a Defined Benefit Plan, a traditional public pension plan. Employees contribute 6%25 and USG contributes 20.78%25 to the plan. Your retirement benefit is calculated by factoring years of service, final salary and 2%25 multiplier. Employees are vested after 10 years.

Minimum Hiring Qualifications:
Bachelor’s degree and two years of related experience, or a combination of education and experience. 

Preferred Hiring Qualifications:

Knowledge of administrative and business management policies and procedures. Ability to utilize data management applications. Working knowledge of Microsoft Office, Panther Mart, and PeopleSoft Financials systems.   Ability to communicate effectively both verbally and in writing. Effective project management and organizational skills.
