Position Summary:

The Office Administrator is responsible for supporting Services and Program staff and leadership through a variety of functions that help ensure the effective day-to-day operations of the Career Training & Education Programs. This position is responsible for the reception and greeting of guests and participants, general office/administrative and facility support including data entry. The Office Administrator provides exceptional customer service as the organization’s first and last impression for participants, visitors, and the community.

 

Day in the life: In a typical day, an Office Administrator can expect to...

  • Customer Service & Reception: Coordinates the day-to-day operations of the front desk and lobby area. 
  • Administrative & Office Support: Responsible for a variety of office/administration duties that support operations for the assigned Services and Programs teams, staff and management. 
  • Data Entry: Enters data in a timely and accurate manner based on tracking and reporting needs. 

 

Job Pay & Perks:

  • Pay range: $18.87 - $25.97/hr
  • This is an on-site/office-based role whose essential functions require the individual to work at a physical location which may include a GESMN or partner facility.

About You:

Required Knowledge & Skills:

  • Strong verbal and written communication skills.
  • Strong digital and computer literacy skills.
  • Proficient in Microsoft products and platforms such as Outlook Calendar, Teams, OneDrive, Word, and Excel; and the ability to learn and use a variety of web-based platforms.
  • Adaptive and open to change with flexibility within job.
  • Ability to meet deadlines, prioritize demands, and solve problems creatively.
  • Able to balance front desk reception and office administrative duties.
  • Ability to work with individuals from diverse cultural, social, and economic backgrounds.
  • Ability to work in a team environment.
  • Strong customer service, problem-solving, and de-escalation skills.
  • Knowledge of data privacy requirements and ability to maintain confidentiality of sensitive information.
  • Must have the ability to work Mondays – Fridays from 7:30 a.m. – 4:00 p.m.

 

Prior Experience & Education:

  • 1-3 years of relevant experience required
  • High school diploma or equivalent
