Job Description

Based at our Rugby site and reporting to the Project Management Leader for Industry Energy, the Project Operations Coordinator will work closely with a small cluster of senior project managers across multiple concurrent equipment delivery projects. You will take meaningful ownership of commercial, financial, procurement, and logistical tasks that allow our project managers to focus on leading and delivering for our customers.

Key Responsibilities

  • Support project managers with financial control activities, including monitoring project cost data in SAP, identifying booking discrepancies, and preparing cost analyses ahead of project reviews.
  • Assist in managing the invoicing cycle: ensuring invoices are raised at the right time, that appropriate supporting evidence is compiled, and that payment milestones are tracked in line with contractual terms.
  • Coordinate operational procurement activity, including raising purchase orders, tracking supplier deliveries, and maintaining accurate records of procurement status across projects.
  • Coordinate Factory Acceptance Tests (FATs) and facilitate hardware inspection logistics, including scheduling, customer and internal attendance confirmation, and visitor management.
  • Manage the logistical requirements of project meetings and customer site visits, including room bookings, access arrangements, catering, and attendance confirmation.
  • Maintain and update project documentation, supporting records management and ensuring information is accurate and accessible.
  • Act as a point of contact for routine customer communications, relaying information and managing logistical queries professionally.
  • Contribute to the continuous improvement of project operations processes and ways of working within the team.

Essential Requirements

  • Meaningful experience in project coordination, commercial support, or project administration, gained within an engineering, industrial, manufacturing, or similarly technical environment.
  • A good level of commercial awareness, including a practical understanding of invoicing processes, payment terms, and cost tracking.
  • Strong attention to detail with the ability to handle precise technical and commercial information accurately and consistently.
  • Proficiency in Microsoft Office, particularly Excel, and confidence working with data across multiple project workstreams.
  • Strong written and verbal communication skills, with the ability to engage professionally with both internal stakeholders and external customers.
  • Comfortable working in a technically complex environment and able to engage with engineering terminology and project documentation.
  • Able to manage competing priorities across several concurrent projects and adapt as demands shift.

Nice-to-have qualifications

  • Experience using ERP systems such as SAP for procurement, cost analysis, or project data management (full training can be provided).
  • A degree or equivalent qualification in Business Administration, Engineering, or a related discipline, though equivalent professional experience is equally valued.
  • Familiarity with digital project management tools or platforms.
  • Prior experience in a power, energy, utilities, or systems integration environment.

This role involves work for customers who manage critical infrastructure; based on customer requirements it will be necessary to carry out background checks and suitability assessments (UK BPSS clearance OR UK SC clearance) as part of the hiring process.
