About the role

Gersh is seeking an exceptional, highly motivated, and detail-oriented Operations Assistant to support a Managing Partner at Gersh. The Managing Partner oversees all operations across the agency, in addition to being an Agent representing clients within the Alternative Media Department. The ideal candidate is interested in building a deeper understanding of the agency's business and operational functions. This role will be critical to maintaining operational efficiencies and facilitating communication across departments, so is best suited for someone interested in pursuing an operations career path, rather than becoming an agent. The Operations Assistant should be able to juggle constantly changing priorities and handle a wide range of administrative and executive support tasks in a high-pressure environment.

 

Duties

Primary Responsibilities: Operations Assistant 

  • Provide support with administrative tasks such as scheduling appointments and coordinating meetings.
  • Manage communications between different internal departments, as well as external vendors and suppliers to coordinate deliveries and payments.
  • Create and maintain comprehensive databases, reports, and spreadsheets on organizational metrics, financials, etc.
  • Assist in developing and executing innovative operational processes.
  • Prepare expense reports and coordinate travel as needed.
  • Ad hoc duties for projects as needed.

 

Additional Responsibilities: Agent Assistant

  • Answer and roll calls, manage complex calendars, and schedule meetings across multiple time zones.
  • Draft correspondence and manage the flow of incoming and outgoing materials.
  • Manage expenses and coordinate domestic and international travel arrangements.
  • Track and follow up on invoices, payments, and outstanding items.
  • Maintain availability grids and distribute submissions for client bookings and personal appearances.
  • Draft, distribute, and track deal memos and related documentation.
  • Effectively communicate and interact with high-profile clients, prospective clients, managers, and executives with the utmost professionalism.

 

Qualifications

  • A minimum of 1 year of administrative experience, including data entry, research, or other office support functions, is preferred but not required.
  • Bachelor’s degree or equivalent combination of education and professional experience required.
  • Experience working within a talent agency, management company, or similar professional services environment is preferred but not required.
  • Entertainment industry experience is preferred but not required.
  • Exceptional organizational skills, with a high attention to detail.
  • Must have excellent interpersonal communication skills and the ability to build relationships with ease.
  • Ability to maintain a high level of discretion with sensitive information.
  • Demonstrated ability to identify challenges, exercise sound judgment, and independently develop effective solutions in a fast-paced environment.
  • Highly proactive and self-motivated, with the ability to anticipate needs, address potential issues before they arise, and effectively manage competing priorities.

 

Compensation

$21-24 per hour + Full Benefits
