Overview
We are seeking an AI Business Systems and Prompt Analyst to translate ambiguous business problems into well-defined AI use cases, document the data and process requirements, build low code / no code AI agents / prompts using approved technology stack, and play a pivotal role in operationalizing generative AI solutions for high-impact use cases across GBS functions.
The AI Business Systems Analyst serves as the bridge between business stakeholders and the technical teams that design, build, and operate artificial intelligence and machine learning solutions. This is a hands-on analytical role rather than a purely documentation-focused one. The analyst is expected to interrogate data quality, evaluate whether an AI approach is genuinely warranted over a simpler rules-based or reporting solution, and hold vendors and internal teams to measurable outcomes.
- This is a Temp-To-Hire, W-2 or T4 (For Canada Citizen) position. We cannot do 1099 or C2C or Incorporation ((For Canada Citizen).
- It is a fully remote role that will need to be based in the U.S. or in Canada

How you'll make an impact
Runs discovery sessions with business leaders, operations teams, and subject matter experts to identify pain points, manual workarounds, and decision bottlenecks where AI or intelligent automation can add value. Partners with business leaders to identify AI and automation use cases and evaluates feasibility, data readiness, expected business value, and associated risks.
Elicits and documents functional and non-functional requirements for AI-enabled systems, including data sources, decision logic, human-in-the-loop checkpoints, latency expectations, and acceptance criteria. Translates business needs into clear functional requirements, prompt design documentation, test cases, and acceptance criteria.
Maps current-state business processes and defines future-state workflows, clearly identifying which decisions are informed by AI, automated by AI, or retained by human users.
Manages the intake process for AI and automation initiatives to support prioritization and governance. Maintains a prioritized backlog of use cases, including sizing, dependencies, and readiness status to guide investment decisions.
Writes, versions, tests, and optimizes prompts (system, user, and tool-call prompts) to achieve desired functionality across multiple use cases.
Develops low-code and no-code AI solutions, prompts, and agents using Microsoft Power Automate, Power Apps, Copilot Studio, Copilot, and Cowork.
Designs robust prompt frameworks, patterns, and guardrails to ensure reliability, consistency, accuracy, and compliance.
Applies responsible AI practices in collaboration with legal, privacy, security, and risk teams, documenting data lineage, intended use, limitations, and monitoring requirements for deployed solutions.
Defines success metrics for each AI use case, establishes baseline performance measures, and reports realized business benefits after implementation.
Leads change management activities, including stakeholder demonstrations, training development, process documentation, and post-launch support to encourage adoption and successful utilization.
Builds and maintains strong relationships with stakeholders while providing regular project updates and setting expectations regarding AI capabilities, limitations, and risks.
Creates and maintains functional specifications, prompt playbooks, technical documentation, operating procedures, and runbooks.
Prepares stakeholder-friendly summaries of findings, performance results, risks, recommendations, and key outcomes.
Contributes to enterprise standards and best practices for prompt governance, version control, and prompt reuse.
Ensures compliance with data privacy, confidentiality, and regulatory requirements relevant to the insurance and risk management industry.
Applies Responsible AI principles, including bias awareness, explainability, and auditability, and participates in model risk assessments and governance activities.
Measures and continuously improves AI solution quality using metrics such as accuracy, consistency, precision, recall, latency, and cost efficiency.
- Competcies (Optional)
- Business Acumen - Ability to understand Gallagher business objectives, processes, and systems; translate complex business problems into AI‑enabled solutions; and assess downstream impacts, risks, and value of AI use cases.
- Use Case Identification & Requirements Definition - Owns the front end of the AI delivery pipeline — surfacing candidate use cases from across the business, qualifying them against a consistent feasibility and value standard, and converting the ones that survive into requirements precise enough for engineering and data science teams to build against without re-interpretation.
- Prompt Engineering & Generative AI - Expertise in Generative AI capabilities and tools; ability to create and test AI prompts to produce output based on requirements using Microsoft Power Automate, Power Apps, Copilot Studio, Copilot and Cowork.
- Data Privacy, Security & Responsible AI - Knowledge of data privacy, security, and regulatory requirements (e.g., GDPR, CCPA). Knowledge of responsible AI, model risk, data management, and enterprise AI governance, embed privacy-by-design and model risk management practices aligned with regulatory requirements (e.g., GDPR, HIPAA where applicable), work with security, legal on Responsible AI guardrails, content filtering, red-teaming, and exception management.
- Stakeholder Communication and Interaction Skills - Ability to engage with business and technical stakeholders to gather requirements, produce technical documentation, explain AI outcomes, manage expectations, and resolve issues. Comfortable leading requirements discussions, reviews, and working sessions.
- Problem-Solving Skills - Analysts need to be able to identify and define problems, as well as develop and implement effective solutions. They should be able to think critically and creatively to solve complex problems.
- Agile delivery - Experience working in an Agile environment delivery, including user story grooming and sprint planning, development, and user acceptance.
- Technical Skills - Analysts should have specific technical skills such as proficiency in M365 platform - Microsoft Power Automate, Power Apps, Copilot Studio, Copilot Cowork, Github Copilot, Python, and SQL
- Adaptability - Analysts should be adaptable and flexible to work in a fast-paced and changing environment. They should be able to quickly learn new tools, technologies, or methodologies as needed.
- Attention to Detail - Ensure data quality and accuracy in all analyses and documentation.
About you
Education and Experience
Minimum Required Degree

- Bachelor's degree in Business, Information Systems, Computer Science, Analytics, or a related field, or equivalent practical experience.
Certifications / Special Training
- Business Analysis Certification (IIBA CBAP, CCBA, CBDA, or PMI-PBA)
- Agile Delivery Certification (CSM, PSPO, or SAFe)
- Cloud AI or Data Certification aligned with the Microsoft platform
Experience (Career Level Guide)
- Senior-Level Professional with 3 to 6 years of relevant experience
Knowledge, Skills, and Abilities
Experience partnering with business stakeholders to gather requirements and translate them into AI-enabled workflows, acceptance criteria, and measurable success metrics, preferably within a Microsoft ecosystem.
Proven experience designing and optimizing Large Language Model (LLM) prompts for:
- Document processing
- Data extraction
- Summarization
- Classification
- Decision support solutions
Hands-on experience with Microsoft Power Platform and related developer tools, including:
- Power Automate
- Power Apps
- Copilot Studio
- GitHub Copilot
Experience testing and validating AI solutions through:
- Evaluation of prompt outputs against source documents and business requirements
- Iterative testing and refinement
- Quality assurance and traceability practices
Strong written and verbal communication skills, including:
- Leading requirements-gathering sessions
- Facilitating troubleshooting discussions
- Conducting stakeholder status meetings
- Collaborating with both business and technical teams
Ability to create and maintain:
- Functional and technical documentation
- Test plans
- User guides
- Process documentation
Solid understanding of advanced prompt engineering concepts, including:
- Prompt design patterns
- Context management and grounding
- Tool use and function calling
- Retrieval-Augmented Generation (RAG)
Ability to work independently as an individual contributor while managing multiple priorities and delivering high-quality results within established timelines.
