Western Digital is seeking an experienced and highly organized Executive Administrator to provide executive support to 2 Senior Executives within our Global Operations organization.

This role goes beyond traditional administrative support. We are looking for a proactive, technology-savvy professional who can manage complex executive schedules, coordinate across global teams, lead administrative best practices, and drive digitalization initiatives to improve efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Executive Support & Calendar Management

• Provide high-level administrative support to two senior executives in a fast-paced global environment.
• Manage complex calendars, prioritize appointments, and coordinate meetings across multiple time zones.
• Prepare meeting agendas, briefing materials, presentations, and follow-up action items.
• Coordinate domestic and international travel arrangements, including flights, accommodations, visa applications, and itineraries.
• Anticipate scheduling conflicts and proactively recommend solutions to ensure smooth executive operations.

2. Stakeholder & Cross-Functional Coordination

• Serve as the primary liaison between executives and stakeholders across Thailand, the Philippines, and global locations.
• Build strong working relationships with leadership teams, business partners, and cross-functional organizations.
• Coordinate cross-site meetings, events, communications, and business activities.
• Support executive communications and correspondence in both English and Thai.
• Ensure effective collaboration and information flow across multiple teams and regions.

3. Administrative Team Leadership

• Lead and coordinate the Thailand Head Operations administrative support team to ensure operational excellence.
• Establish and maintain standardized administrative processes and best practices.
• Support workload planning, capability development, and continuous improvement initiatives.
• Coach and mentor junior administrative staff to enhance performance and accountability.
• Act as the escalation point for administrative matters within the Thailand organization.

4. Digitalization & Process Improvement

• Champion the adoption of digital tools, automation solutions, and AI-powered productivity platforms.
• Identify opportunities to streamline workflows and improve administrative efficiency.
• Drive process improvement initiatives that eliminate manual and non-value-added activities.
• Support the implementation and utilization of Microsoft 365, SharePoint, Power Automate, Copilot, and related technologies.
• Stay informed of emerging technologies and recommend innovative solutions to enhance business operations.

5. Operational & Project Support

• Track executive action items, key deliverables, and follow-up activities to ensure timely completion.
• Support the preparation of executive presentations, reports, dashboards, and communication materials.
• Coordinate department events, leadership meetings, offsite workshops, and town halls.
• Assist with special projects and strategic initiatives as assigned by senior leadership.
• Handle confidential and sensitive information with the highest level of discretion and professionalism.

REQUIRED:

• Bachelor's degree in Business Administration, Communications, Project Management, or a related field.
• Minimum 5 years of administrative, executive assistant, or business support experience.
• At least 3 years of experience supporting Director-level or above executives in a multinational environment.
• Demonstrated experience coordinating cross-functional projects, managing multiple priorities, and driving tasks to completion.
• Professional proficiency in English and Thai (written and spoken).
• Strong communication, stakeholder management, and interpersonal skills.
• High level of professionalism, discretion, and ability to handle confidential information.

PREFERRED:

• Experience in multinational, manufacturing, technology, or semiconductor companies
• Experience leading or coordinating an administrative team
• Knowledge of digital workflow tools, automation, or AI productivity platforms
• Experience working with global stakeholders across multiple regions
• Conversational proficiency in Filipino (Tagalog) is an advantage
• Certification in project management, digital tools, or AI productivity platforms is a plus

SKILLS:

• Advanced Microsoft Office 365 (Outlook, Teams, PowerPoint, Excel)
• SharePoint and document management systems
• Power Automate, Power BI, Copilot, or similar digital productivity tools
• Strong presentation and reporting skills
