POSITION OVERVIEW



The Operations Coordinator is responsible for filing entry documents, tracking and updating the movement of freight, and ensuring compliance with export clearance regulations set forth by various government agencies. The Operations Coordinator will ensure that shipments adhere to legal requirements. This individual will also coordinate between vendors, customers, and partners to process shipments.

DUTIES AND RESPONSIBILITIES


  • Coordinate and arrange export/import services on behalf of shippers and international destination offices/agents from end-to-end. 
  • Create files, arrange for pick up and obtain shipment documentation necessary for domestic or international transportation, liaison between parties to provide status updates. 
  • Respond to complaints, demonstrate effort to seek help from upper management when needed; respond to customer emails request for shipment status and proof of delivery. 
  • Use approved external providers as necessary to arrange transportation of goods. Quickly resolve any miscommunication and disputes to ensure safe on-time deliveries 
  • Enter shipment and booking details timely and accurately; submit all required documentation from the system i.e. AES, EDI, Master, booking confirmation etc. 
  • Communicate with various contacts (customers, vendors, partners, and more) in processing shipments. 
  • Negotiate rates with vendors as required 
  • Execute invoicing and closing of files as per established guidelines and KPI’s 
  • Provide daily activity reports to management. 
  • Other ad-hoc projects as requested by management



EDUCATION AND/OR WORK EXPERIENCE REQUIRED



  • Minimum 3 years of Import and Export Ocean Operations
  • Strong communication & customer service skills
  • Strong organizational skills with ability to multitask and prioritize
  • Ability to negotiate rates with vendors
  • Proficient in Microsoft Office (Word, Excell, Outlook)
  • Cargowise experience required



PHYSICAL REQUIREMENTS


  • Safely and successfully performs the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
  • Must be able to lift and carry up to 20 lbs.
  • Must be able to sit for prolonged period of time in office environment, desk setting
  • Must be able to talk, listen and speak clearly on telephone.
