General Affairs Executive

Job Summary
We are looking for a highly organized and proactive General Affairs Executive to provide executive and general affairs support to the CEO and HR administrative support to the Senior HR Director.
The ideal candidate is detail-oriented, responsive and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
CEO & General Affairs Support (50%)
- Manage the CEO's calendar, meetings and appointments across internal and external stakeholders.
- Coordinate meeting logistics, agendas, materials and follow-up actions.
- Support business activities, client engagements and corporate events.
- Prepare correspondence, documents and presentations when required.
- Coordinate with internal teams and external stakeholders on behalf of the CEO.
- Provide general administrative and operational support as required.
HR Support for Senior HR Director (50%)
- Prepare and maintain employee records, employment contracts, confirmation letters and other HR documentation.
- Ensure employee data is accurately maintained in HR systems and personnel files.
- Monitor probation periods, contract expiry dates and employee documentation requirements.
- Support work pass applications, renewals and cancellations, including Employment Pass, S Pass, Dependant's Pass, Letter of Consent and other relevant passes.
- Coordinate with employees and relevant authorities to ensure timely submission of required documents.
- Maintain accurate records of work pass validity and renewal schedules.
- Support the administration of employee benefits, insurance and medical claims.
- Support new hire onboarding, including documentation and orientation coordination.
- Support HR audits and ensure proper documentation and record keeping.
- Assist with HR projects and process improvement initiatives when required.
Requirements
- 1–3 years of relevant experience in General Affairs, Executive/Personal Assistant, HR Administration, Operations or Business Support.
- Strong calendar, coordination and organizational skills.
- Familiarity with basic HR administration, onboarding and employee documentation.
- Knowledge of Singapore work pass administration would be advantageous.
- Strong written and verbal English communication skills.
- Detail-oriented, proactive and able to manage changing priorities.
- Strong ownership and follow-through.
- Able to handle confidential information with discretion.
- Strong interpersonal and stakeholder management skills.
