About the Job:
The Medical Programs Specialist provides operational support and project coordination for the Medical Affairs team, helping to drive key initiatives and enable effective collaboration across the function. This role supports relationships and activities both internally and externally, partnering closely with cross-functional teams across FMI as well as external healthcare providers, consultants, and vendors.
Key Responsibilities:
- Support execution of Medical Affairs programs and operational activities, ensuring alignment across internal stakeholders.
- Coordinate project plans, track milestones, and communicate progress on key initiatives.
- Serve as a point of contact for internal teams, external partners, and vendors.
- Manage meeting logistics, scheduling, and follow-up actions.
- Support development, maintenance, and distribution of training materials and internal resources.
- Partner with cross-functional stakeholders to ensure materials follow appropriate review processes and compliance requirements.
- Review content for quality, accuracy, and alignment with brand standards.
- Maintain and update digital content, including internal sites or platforms (e.g., SharePoint).
- Assist with development and editing of multimedia content (e.g., basic video recording/editing).
- Maintain communication channels and distribution lists (e.g., email groups, Slack) to support effective collaboration.
- Provide day-to-day operational support, including triaging questions and helping ensure smooth team coordination.
- Other duties as assigned.

Qualifications:
Basic Qualifications:
- Bachelor’s Degree
- 2+ years of experience in Medical Affairs Operations, program coordination, project management, or related field (biotech, diagnostics, pharma, or healthcare preferred)
Preferred Qualifications:
- Experience using software platforms such as Microsoft Office Suite (Excel, PowerPoint, Word, Copilot, SharePoint), Smartsheet, and collaboration tools (e.g., Lucid, Slack, Showpad)
- Understanding of HIPAA and the importance of patient data privacy

The expected salary range for this position based on the primary location of Boston, MA is $71,600 - $89,500 per year. The salary range is commensurate with Foundation Medicine’s compensation practice and considers factors including, but not limited to, education, training, experience, external market conditions, criticality of role, and internal equity. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for Foundation Medicine's benefits.
