POSITION SUMMARY
Reporting to the Project Director and working closely with Project Leadership and Construction Management, the Project Coordinator will assist in the organization and administration of project-related documentation. They will support Project Managers by monitoring project plans, schedules, work hours, budgets, and expenditures, while ensuring that project functions and deadlines are met in a timely manner. Responsibilities also include organizing and participating in stakeholder meetings, planning and coordinating team meetings, and ensuring that project plan administration effectively supports the execution of field operations. The successful candidate will have a strong background in civil construction.

CORE RESPONSIBILITIES
Project Delivery & Coordination
- Support Project Managers in executing project delivery from bid through closeout
Cost, Contracts & Controls
- Monitor project budgets, costs, forecasts, and progress reporting
- Support procurement, subcontract execution, and contract administration
- Utilize Viewpoint to manage daily project cost tracking and reporting
- Support change management processes including pricing, tracking, and approvals
Documentation & Reporting
- Prepare Field Review Reports, site instructions, and clarification documents
- Review IFC drawings and record drawings for accuracy and completeness
- Support closeout documentation and final compliance reviews
- Develop reporting tools and dashboards for internal and client reporting
Field & Stakeholder Support
- Coordinate with field teams to ensure alignment between site execution and project plans
- Attend project and construction meetings as required
- Communicate project status updates, risks, and issues to project leadership
- Support health, safety, and environmental compliance requirements
Additional Support Functions
- Assist with estimating and proposal development as required
- Support time entry, administrative tracking, and data management
- Contribute to process improvements and operational efficiency initiatives
QUALIFICATIONS & SKILLS
- 2+ years of experience in a Project Coordinator role within civil construction
- Post-secondary education in Business, Construction Management, Engineering, or equivalent experience
- Strong understanding of construction project workflows including RFIs, subcontracts, change orders, and closeout processes
- Proficiency in Microsoft Office, especially Excel
- Experience with Viewpoint (asset)
- Strong communication skills with high attention to detail and accuracy
- Ability to work independently and collaboratively in a fast-paced environment
- Valid driver’s license with acceptable driving record
- Willingness to travel to project sites as required
