Role Summary

As Event Coordinator for FCM Meetings & Events, you will work alongside Event Project Managers to ensure the smooth, seamless delivery of our clients' events.

Your role will carry a strong customer service and organisational focus. You will need to be an honest communicator, able to meet deadlines and maintain accurate event data. We are looking for someone motivated, eager to learn and grow within the events industry, with proven willingness or experience. This is a varied role that will require flexibility and a positive approach to change.

You will support the Event Project Managers and collaborate with team members to meet or exceed commercial objectives.

 

What You'll Do

  • Support Event Project Managers in the successful planning and delivery of client events, ensuring programmes are delivered smoothly, accurately and on time.
  • Maintain accurate event files, budgets, project plans and delegate information throughout the event lifecycle.
  • Manage key event deadlines, including supplier payments, attrition, cancellation dates and other contractual requirements.
  • Ensure delegate payments and relevant financial information are processed accurately and ahead of event deadlines.
  • Work closely with Event Project Managers and wider teams to identify and resolve client issues or concerns quickly.
  • Build strong relationships with suppliers and negotiate competitive rates and offers on behalf of FCM Meetings & Events clients.
  • Monitor event costs and ensure activities remain within agreed client budgets.
  • Communicate with clients, delegates, suppliers and internal stakeholders professionally and within agreed timeframes.
  • Maintain regular communication with Event Project Managers throughout the event, particularly around deadlines, decisions and changes.
  • Ensure accurate and relevant event notes and delegate information are maintained in the relevant systems.
  • Process delegate travel, accommodation and expense information accurately and complete post-event reconciliations within required timeframes.
  • Support payment and expense requests, ensuring information is accurate and verified ahead of deadlines.
  • Assist with client proposals and budgets where required.
  • Develop and maintain knowledge of M&E products, destinations and suppliers.
  • Work on-site at events where required to support successful event delivery.
  • Follow FCM Meetings & Events processes, systems, financial controls and risk management requirements.
  • Contribute ideas and feedback to improve systems, processes and ways of working.
  • Participate in relevant training and support the onboarding and integration of new team members.
  • Take ownership of assigned event programmes and components, proactively managing multiple priorities while maintaining high standards of accuracy and service 

 

What We're Looking For

  • Proven experience delivering excellent customer service, ideally within events, travel, hospitality or another client-focused environment.
  • Strong organisational skills with the ability to manage multiple tasks, deadlines and priorities simultaneously.
  • Excellent attention to detail and a high level of accuracy across event, financial and delegate information.
  • Strong written and verbal communication skills, with the ability to communicate effectively with clients, suppliers and internal stakeholders.
  • A proactive and positive approach, with the ability to take ownership and work independently.
  • Strong problem-solving skills and the ability to find practical solutions when challenges arise
  • Confidence negotiating with suppliers and working towards mutually beneficial outcomes.
  • Strong time-management skills and the ability to consistently meet deadlines.
  • A genuine interest in the Meetings & Events industry and willingness to learn and develop.
  • The ability to adapt positively to changing priorities and a fast-paced working environment.
  • A strong customer-first mindset and commitment to delivering an outstanding experience for clients and delegates.
  • Financial awareness, including an understanding of budgets, costs, supplier payments and reconciliation.
  • Ability to work collaboratively as part of a team while taking ownership of your own programmes and responsibilities.
  • Proficiency in Microsoft Office.
  • Competence using relevant systems and processes, with a willingness to learn new technology.
  • Proven ability to work in line with established processes, financial controls and risk management requirements. 

 

Preferred Qualifications 

  • Previous experience in Meetings, Incentives, Conferences and Events (MICE) or a related events environment.
  • Knowledge of key MICE suppliers, products and destinations.
  • Experience using Cvent — Essential
  • Experience using Qondor or another event/project management platform.
  • A degree or qualification in Event Management or a related discipline.
  • Experience managing group travel or event programmes.
  • Previous experience working with event budgets, supplier payments and financial reconciliation. 
  • Fully fluent in French, with very good English skills - Mandatory
