Administrative Coordinator
About this role
Sundance Beverage Company is seeking a dependable, polished, and highly organized Front Office Administrative Coordinator to support daily office operations in a fast-paced environment. This role is ideal for a proactive self-starter who communicates professionally, builds positive relationships with customers and employees, and takes pride in accuracy, confidentiality, and follow-through.
The successful candidate will serve as a key point of contact for incoming calls, visitors, customers, vendors, and internal team members. They must be comfortable managing multiple priorities while maintaining a professional, service-oriented approach.
Key Responsibilities
Professionally answer and direct incoming calls through a multi-line phone system.
Provide courteous, responsive assistance to customers, vendors, drivers, and employees.
Maintain a welcoming and professional front-office environment.
Perform general administrative and clerical duties, including mail distribution, filing, data entry, copying, and document preparation.
Scan and organize checks, invoices, settlement documents, and other financial paperwork.
Assist with accounts payable and accounts receivable activities as assigned.
Process and route settlement paperwork accurately and on time.
Order, track, and maintain office supplies.
Prepare reports, spreadsheets, correspondence, presentations, and other business documents.
Maintain confidential employee, customer, financial, and company information with discretion.
Support management and other departments with administrative projects and additional duties as needed.
Qualifications
High school diploma or GED required.
Some college required.
Previous administrative, receptionist, customer service, or office support experience required.
Excellent interpersonal skills and a professional, customer-focused demeanor.
Strong verbal and written communication skills.
Ability to interact effectively with all levels of management, employees, customers, and vendors.
Strong organizational skills, attention to detail, and ability to prioritize competing responsibilities.
Demonstrated reliability, punctuality, accountability, and a strong work ethic.
Ability to handle sensitive and confidential information appropriately.
Basic knowledge of accounts payable, accounts receivable, invoice processing, or related financial office functions required.
Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Comfortable creating and maintaining Excel spreadsheets, preparing professional documents, and supporting presentations.
Accurate data-entry and filing skills, with the ability to type at least 40 words per minute.
Basic math, calculation, and recordkeeping skills.
Ability to work independently while contributing positively to a team environment.
