Division: The Group Business Solutions (GBS)

We are currently looking for a Programme Office Analyst. You will join the Project Support Office (PSO) team within the UK of the Group Business Solution (GBS) department. This role is to add value, ensuring alignment and meeting the goals set for the PSO to support IT Delivery.  Your main role will be to support the core IT capabilities around project management, ensuring quality, and risk management are of a high standard for the IT transformation programme.  This will be through active participation with various streams, acting as a strong change manager supporting the IT delivery for the business, improving the overall project/portfolio management, tracking, and reporting the conformance to plans and expectations of IT Controls for the division. As part of the PSO team, you will also support the team when required with a range of support services the team is providing to various partners (including Roadmap Managers/Tribe leads, Department heads, Division heads) not only within the division but also to the full IT organization.

Title and reporting structure

  • The position title is Programme Office Analyst. The position reports to the UK Head of Project Support Office.

 

Key responsibilities

  • Assists in the supervisions of the progress across a range of projects and one large programme.

  • Assisting the IT portfolio and roadmap managers providing vital strategic support in the following areas: Portfolio preparation Budget monitoring & tracking demand capacity analysis Steering Committee preparations.

  • Carrying out risk management and impact analysis across the programme

  • Developing an understanding of the programme and its constituent projects, acting as quality control on their health and escalating points for attention to the programme manager.

  • Analysing financial data, including project budgets, risks, and resource allocation, and presenting conclusions to IT roadmap managers.

  • Collaborating with business & IT stakeholders to define, prioritize, and develop the Portfolio Roadmap.

  • Maintaining important programme KPIs and presenting key information clearly e.g. via dashboards.

  • Secretary for various governance meetings. This includes liaising with the EUI stakeholders, pack production, meeting arrangement and minutes preparation. 

  • Supporting the project management team with ad hoc requirements

Person specification

To be successful as a Programme Office Analyst, you should demonstrate strong analytical and communication skills. Ultimately, you should be well organised, with strong attention to detail, and able to work under pressure. 

  • A minimum of two years' experience in a similar role.

  • Good analytical skills with ability to model and query data and assess data quality.

  • Strong technical skills using MS Excel (preferably with skills manipulating formulae, tables, Power BI). 

  • Excellent organisational skills, self-motivated, adaptable, proactive and able to work independently.

  • Good understanding of project status reporting and project/programme financials.

  • Good understanding of project lifecycle (Agile and Waterfall methodology) and governance.

  • Experience in project work and an understanding of metrics, data collection methods and data analysis.

A willingness to learn about the programme to a detailed level in order to provide intelligent analysis and support to the programme manager.
