Are you highly organised, detail-oriented? Equiom is looking for a Records Management Assistant to support our Data Protection team in managing archived records and ensuring compliance with data protection requirements.

About the Role

As a Records Management Assistant, you will be responsible for reviewing archived hard copy records against retention schedules and identifying records that require ongoing retention. You will also support the digitisation of key documents, helping to improve accessibility and reduce reliance on physical storage.

This is an excellent opportunity for someone who enjoys structured work, has strong attention to detail and takes pride in maintaining high standards of compliance and record keeping.

Key Responsibilities

Operational Efficiency

  • Review archived hard copy records in accordance with retention schedules and company policies

  • Assess records that have exceeded retention periods

  • Scan, upload and digitally file documents that must be retained

  • Ensure all activities are carried out in line with data protection requirements and company procedures

Skills, Experience & Qualifications

Essential

  • Strong organisational and administrative skills

  • Excellent attention to detail and accuracy

  • Ability to manage and review information methodically

  • Awareness of data protection principles and confidentiality requirements

  • Good communication and interpersonal skills

  • Ability to work independently and manage deadlines effectively

Desirable

  • Previous experience in records management, document administration, or data protection compliance

  • Experience working with digital filing systems and document scanning processes

  • Understanding of retention schedules and information governance practice
