About the role
As an Executive Assistant, you will be a strategic partner to senior leadership, ensuring operational excellence, effective prioritization, and seamless execution across a dynamic, global environment. Beyond managing calendars and meetings, you will anticipate needs, coordinate cross-functional initiatives, facilitate communication, and leverage AI and technology to optimize executive productivity.
You will interact with stakeholders across multiple regions, requiring strong business acumen, excellent communication skills, and the ability to manage confidential information with discretion.
What you'll do

Partner closely with senior leaders to manage priorities, calendars, travel, meetings, and strategic agendas.

Coordinate executive routines, leadership meetings, offsites, and business events.

Prepare presentations, reports, meeting materials, and executive communications.

Follow up on action items, ensuring alignment and execution across multiple teams.

Build strong relationships with internal and external stakeholders globally.

Anticipate executive needs, identify risks, and proactively solve operational challenges.

Manage confidential and sensitive information with professionalism and discretion.

Optimize administrative processes through automation, AI tools, and productivity solutions.

Support cross-functional projects and organizational initiatives when required.

Continuously improve ways of working, increasing efficiency and scalability.
What we're looking for

Bachelor's degree in Business Administration, Communications, International Relations, Psychology, or related fields.

Solid experience supporting Directors, VPs, or C-level executives in fast-paced organizations.

Strong organizational and project coordination skills.

Excellent written and verbal communication.

High level of ownership, discretion, and attention to detail.

Ability to prioritize multiple demands while maintaining high quality.

Proactive mindset with strong problem-solving skills.

Experience working in multicultural and global environments.

Advanced proficiency with Google Workspace, Microsoft Office, and collaboration tools.

Familiarity with AI productivity tools (such as ChatGPT, Gemini, Copilot, or similar) is highly desirable.
Language Requirements

Fluent English (required) — able to communicate confidently with global stakeholders in meetings, presentations, and written communications.

Portuguese required.

Spanish is a plus.
