Overview

The Department of Mathematics and Statistics at Auburn University is seeking candidates for the position of Administrative Support Associate. This position is an integral part of the staff and will provide administrative and general clerical support within the department. The person who will thrive in this role enjoys connecting with people, collaborating with a team, and ensuring smooth operation of an office environment.


Responsibilities

  • Greet visitors and answer departmental phone calls.
  • Serve as the primary front office contact for students, faculty, staff, and visitors.
  • Coordinate textbook adoptions and desk copy requests, maintain textbook information, and assist faculty with locating textbook resources and materials.
  • Provide copier and printer support for faculty and staff to include maintaining supplies, coordinating maintenance, and troubleshooting.
  • Monitor, maintain, and order office supplies for the department.
  • Manage department mailbox assignments as well as incoming and outgoing mail and package distributions.
  • Submit and track Facilities Management work orders and maintenance requests.
  • Coordinate classroom and meeting room reservations for seminars, thesis defenses, exams, student organizations, and departmental meetings.
  • Assist with departmental events, seminars, receptions, meetings, and other in-house events, including coordinating food, beverages, and room setup.
  • Maintain departmental bulletin boards and remove outdated materials.
  • Assist with reimbursement processes and provide administrative support for departmental financial activities.
  • Serve on departmental committees as assigned.
  • Stay abreast of departmental, college, and university policies and procedures as it relates to this position.
  • Serve as a first point of contact for student inquiries, including front-line support for ALEKS Math Placement questions and routine placement processes; training provided.
  • Other duties as assigned.

Qualifications

Level I:

  • High School Diploma or GED and 2 years of experience in clerical and administrative support services.

Level II:

  • High School Diploma or GED and 4 years of experience in clerical and administrative support services.


SUBSTITUTIONS ALLOWED FOR EXPERIENCE: Yes, When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
