Finance - Executive Assistant
Bring your skills and experience as the Executive Assistant for the Finance organization who supports the VP Finance, VP of Military Finance, VP and Controller, and the Director of Finance-Integrated Operations. In addition, the position may provide support to the Managers that support these VPs and Director as time permits. The Executive Assistant will be responsible for managing schedules, arranging appointments, managing travel, and coordinating meetings and conference calls. This position has frequent access to confidential and complex information and communicates information and corporate policy to others. The Executive Assistant is often called upon to communicate with the VP and Director's direct reports and with Bell service providers like the external auditors and tax consultants.
What you’ll be doing as an Executive Assistant:
Screen and direct phone calls; manage calendar(s) and adapt to rapid schedule changes; order, track, and maintain office supplies; manage correspondence.
Assist in report, presentation, and document preparation for both internal and external communications, and in compliance with established brand guidelines.
Schedule and coordinate various internal and external meetings at varying levels of management and provide support in hosting and/or conducting meetings as needed.
Assist the VP and Director in the preparation of both domestic and international travel arrangements and processing of expense reports.
Collaborates with various staff and departments in preparing special projects.
Work with department managers on procedure and department instruction updates and maintenance.
Provides direct administrative and project support.
Works with security to arrange on-site meetings that have visitors.
Works with other senior level management and administrators on behalf of the Finance organization.
Skills you bring to this role
High School Diploma is required; Bachelor's Degree is preferred.
6+ years experience with executive administration support.
Must be proficient in Microsoft Office PowerPoint, Word, and Excel.
Ability to pass assessments in Microsoft Office PowerPoint, Word, Excel and keyboarding.
Experience booking travel and completing expense reports for travel and other miscellaneous expenses.
Excellent communication skills.
Experience in SharePoint is preferred.
Be detail oriented and able to multitask and prioritize.
Ability to work discreetly with confidential information.
Candidate must demonstrate professional demeanor.
