Role Overview You will be responsible for supporting the successful operation, governance, and financial management of Data, Advanced Analytics and AI portfolio. You will act as the central coordination point for portfolio administration, project governance, financial planning, and team operations, ensuring projects remain aligned with strategic objectives, budgets, and delivery timelines. This role combines PMO excellence, financial stewardship, operational coordination, and stakeholder management. You will work independently with multiple functions (such as Finance, Procurement and IT PMO), navigating organisational processes and governance requirements to enable successful project delivery. In addition, you will support the broader Data, Advanced Analytics and AI function through team engagement activities, vendor management, reporting, and continuous process improvement. Key Responsibilities • Maintain oversight of Data, Advanced Analytics and AI portfolio, ensuring projects adhere to agreed governance processes, delivery milestones, and reporting requirements. • Track portfolio risks, issues, dependencies, and decisions, escalating concerns where appropriate. • Ensure project documentation, plans, status reports, and governance artefacts remain up to date and audit-ready. • Drive consistency in project management standards, templates, and ways of working across the portfolio. • Support annual planning, demand management, prioritisation, and portfolio forecasting activities. • Manage portfolio budgets, forecasts, actual spend tracking, and financial reporting. • Monitor project expenditure and provide insights to support effective financial decision-making. • Process purchase orders, vendor invoices, contract renewals, and related financial transactions in accordance with company policies. • Partner with Finance, Procurement, and project teams to ensure accurate budget management and timely approvals. • Maintain financial records and support audit, compliance, and forecasting requirements. • Coordinate team meetings, offsites, workshops, leadership reviews, and engagement activities. • Support onboarding, resource tracking, access requests, and operational administration across sub-functions. • Serve as a central point of contact for portfolio administration and operational coordination. • Develop and maintain portfolio dashboards, KPIs, and executive reporting materials. • Provide visibility into project health, budget performance, resource utilisation, and portfolio risks. • Identify opportunities to streamline processes, improve governance effectiveness, and increase operational efficiency. • Leverage digital and AI-enabled tools to enhance reporting, automation, and portfolio management capabilities. Competencies • Strong understanding of Project Management Office (PMO) disciplines, portfolio governance, and project delivery life cycles. • Excellent organisational, planning, and prioritisation skills with the ability to manage multiple competing activities simultaneously. • Strong financial acumen, including budget management, forecasting, and expenditure tracking. • Ability to navigate complex organisational structures, processes, and approval workflows. • Effective stakeholder management skills with the ability to influence and coordinate across multiple functions and levels. • High attention to detail while maintaining focus on strategic outcomes. • Strong written and verbal communication skills with the ability to prepare clear executive-level reports and presentations. • Proactive problem-solving mindset with the ability to work independently and drive outcomes with minimal supervision. • Strong analytical skills with experience interpreting and presenting portfolio and financial performance data. • Digitally savvy with the ability to leverage technology, automation, and AI tools to improve productivity and operational effectiveness. Qualifications • Bachelor's degree in Business Administration, Finance, Project Management, Information Technology, or a related discipline. • Minimum 5 years' experience in Portfolio Management Office (PMO), project coordination, portfolio management, finance operations, or related roles. • Demonstrated experience managing budgets, forecasts, purchase orders, invoices, and financial administration processes. • Strong proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Teams. • Experience with portfolio management and project tracking tools such as Planview, Jira, Microsoft Project, ServiceNow, or equivalent platforms. • Working knowledge of procurement, finance, and governance processes within a large global organisation. • Experience working in technology, digital, data, or IT functions is highly desirable. • Experience using AI-enabled productivity and reporting tools to improve business operations is preferred.
