Role Summary
The Scheduler is responsible for communicating with potential participants via phone or email, and scheduling them based on availability. The Scheduler is the main face of our team to people participating in the study.
Role Responsibilities
Manage and coordinate participant scheduling for study appointments according to project requirements
Handle phone calls, emails, and inquiries with professionalism
Perform general administrative duties including data entry, filing, and preparing materials
Liaise with onsite study staff to ensure smooth participant flow and efficient operations
Uphold confidentiality and ethical standards of the study
Answer questions participants may have
Provide logistic information
Remind participants of upcoming appointments
Communicate schedule changes to participants
Act as liaison between participants and Project Manager
Resolve scheduling conflicts as they occur
Role Requirements
Proficiency in Microsoft Office
Advanced proficiency in Google Sheets
Professional fluency in English
Located in Central time zone
Work environment should be a quiet, distraction-free and a professional background for participant calls and team meetings
Must possess outstanding customer service and excellent communication skills including phone, email and electronic media communications
Strong project management and prioritization skills
Self-motivated, quick learner, and organized
Able to work a flexible schedule as needed
Must be extremely detail-oriented
Discretion with confidential information
Ability to work a flexible schedule as needed
Role Requirements – Education and/or Experience
High school diploma or equivalent; further education or certification is a plus
Proven experience in scheduling, reception or administrative roles
Experience working as a company team member
Preferred Role Requirements
Prior experience as a scheduler for data collection projects
