GENERAL STATEMENT
Under the direction of the Human Resources Manager, the HR Student Assistant provides clerical assistance in support of the Human Resources department. The incumbent performs a variety of personnel related clerical duties associated with applicant screening, typing and filing, maintaining employment records and basic functions relative to customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
1. Serves as the first point of contact for the human resources office. Provides outstanding customer service to employees, applicants, guests, staff, and management.
2. Answers incoming telephone calls, routes calls to appropriate personnel, takes messages when necessary, monitors shared email inboxes, and responds to routine human resources and employment-related inquiries.
3. Assists with recruitment activities, including screening applications, responding to applicant inquiries, communicating applicant status updates, and providing information regarding employment opportunities.
4. Supports new hire onboarding processes by preparing onboarding materials, processing and filing forms, entering employee information into appropriate systems, facilitating onboarding activities, and preparing employee identification badges.
5. Inputs, updates, audits, and maintains employee data within the Human Resources Information System (HRIS) and other related systems to ensure accuracy and data integrity.
6. Maintains employee personnel files and human resources records by processing, organizing, filing, and retaining physical and electronic documentation in accordance with established procedures.
7. May assist with employee communications and outreach initiatives, including newsletters, memoranda, employee engagement activities, employee appreciation programs, and other employee relations efforts.
8. Provides general administrative support to the department, including copying, mail distribution, correspondence preparation, records maintenance, inventory monitoring, and other clerical functions.
9. Assists with payroll-related administrative tasks, including the processing and filing of payroll documents.
10. Supports departmental programs, special events, initiatives, projects, data reconciliation efforts, and other special projects as assigned.
11. Other duties as assigned, reasonably within the scope of the job.
MINIMUM QUALIFICATIONS
Education and/or Experience
One year of previous work experience is preferred. Previous office experience is highly recommended. Preference will be given to students who are majoring or minoring in Human Resources. Must be a current and active CSULB student enrolled in a minimum of 6 units.
Knowledge and Abilities
Demonstrated ability to multitask, prioritize responsibilities, and maintain strong attention to detail in a fast-paced environment. Knowledge of Human Resources or personnel office functions, or the ability to quickly learn related processes and procedures. Proficient in computer systems, with experience in Microsoft Office Suite and ADP preferred. Ability to interpret policies and correspondence, prepare clear written communications, communicate effectively with others, perform basic mathematical calculations, and follow detailed written and verbal instructions using sound judgment.
OTHER QUALIFICATIONS
Schedule
Work shifts will be assigned during regular Human Resources Office operating hours, which are Monday through Friday from 8:00AM to 5:00PM. Operational activity is year-round, with increased activity during the Summer and Witner sessions. The employee must be available to work during academic breaks including winter & summer breaks. Some campus closure dates, holidays, and weekends may be required. Shifts vary to include mornings and afternoons. The employee must be able to provide a minimum of 12 hours of availability during academic semesters.

Appointment to this position is contingent upon successful completion of a comprehensive background check based on reportable last actions.

While performing the duties of this job, the employee is regularly required to sit for extended periods of time and use hands to type, sort documents, and file. The employee is regularly required to walk to other areas of the campus and is frequently required to talk or hear. The employee is occasionally required to stand. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet to moderate.
Shifts will be assigned twice a week between Monday and Wednesday. The ideal schedule is 9:30am - 3:30pm, however there is some flexibility to accommodate student class schedules. The employee will be scheduled 12 hours per week during the Fall 2026 semester. All hours must be worked Monday - Wednesday between 9:00am and 5:00pm. The office is closed Saturdays and Sundays.
