Customer Service Representative
About this role
The Customer Service Representative contributes to the success of the organization by supporting customers and other departments. This person handles transactions, performs clerical functions for sales department, acts as point of contact for customers, and acts as liaison between customers and various departments of the organization.
Qualified candidates will have the proven ability to work well with other personnel and departments, and deal with customers concerning matters that require tact and resourcefulness. The qualified candidate must also pay close attention to detail, fully proofreading his or her own work as well as the work of others.
Qualifications:
- Excellent communication skills (verbal and written)
- Experience with data entry
- Proficiency in Microsoft Office/ Windows
- Detail oriented
- Proofreading skills
- Completed High School Diploma or Equivalent
Responsibilities Include:
- Processing transactions (includes creating orders, sending order acknowledgements, repeat orders, and Ecommerce orders)
- Responding to shipping questions
- Responding to clerical questions
- Responding to technical questions, forwarding to engineering, sales, and field technicians.
- Approving quotes created by Account Managers, reviewing the terms, conditions, and requirements of contracts as well as reviewing job costing, monitoring discount levels and suggesting price increases as needed.
- Approving orders created by Field Account Managers, reviewing the terms, conditions, and requirements of contracts as well as reviewing job costing, monitoring discount levels and suggesting price increases as needed.
- Entering order requirements and sending order receipts for orders created by Field Account Managers
- Sending quotes on behalf of Account Managers
- Acting as a liaison between customers and accounting in determining payment terms
- Exporting forms, sending to customers as well as monitoring and following up as needed.
- Creating Pro Forma Invoices, adding requirements to orders, as well as monitoring and following up as needed.
- Handling booking/changing/cancelling of travel arrangements for installer, sales, etc.
- Processing change orders
- Handling shipping issues
- Forwarding customer complaints to sales
- Performing all other duties as directed by supervisor
