Work Schedule:

This is a full-time position working between 32-40 hours per week. We believe in maintaining a healthy work-life balance while ensuring business needs are met.

Responsibilities:

  • Greet all patients with a smile and enthusiasm, creating a positive first and last impression.
  • Schedule and confirm patient appointments for consultations, treatments, and follow-ups.
  • Coordinate provider schedules to maximize efficiency and minimize downtime.
  • Manage cancellations, rescheduling, and waitlists while maintaining accurate records.
  • Serve as the first point of contact for patients, providing information about services, pricing, and promotions.
  • Answer high volume of telephone calls and patient text communications.
  • Collaborate with clinical and administrative staff to ensure smooth patient flow and timely service delivery.
  • Assist in collecting payments and processing invoices.
  • Cultivate strong relationships with clients to promote loyalty and repeat visits.
  • Address client concerns or complaints professionally, escalating issues when necessary.
  • Educate clients about new treatments, products, and promotions to enhance their experience.
  • Ensure the reception area is clean, organized, and welcoming for clients.

Qualifications:

  • Experience managing phone systems and scheduling in an office environment.
  • Excellent communication, organizational, and multitasking abilities.
  • Proficiency in computer systems.
  • Knowledge of medical terminology, cosmetic procedures, and skincare products is a plus.
