POSITION SUMMARY

The Administrative Assistant provides comprehensive support to the Chief Development Officer and operational support to designated managers, including data and report management, communication preparation and distribution, program administration, and general office and departmental support.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provides comprehensive administrative support to the Development Officer and operational support to designated managers.
  2. Supports staff by arranging conferences and meetings, coordinating with participants, and preparing agendas.
  3. Organizes, files, and maintains all department‑related records and documents.
  4. Schedules meetings and coordinates related to logistics for the department.
  5. Assists in preparing and distributing communication materials.
  6. Processes department invoices and maintains related documentation.
  7. Prepares presentations, reports, and other departmental materials.
  8. Orders and maintains department supplies and other necessary materials.
  9. Coordinates travel arrangements and manage the department calendar.
  10. Responds to general employee inquiries and provides customer service support.
  11. Provides administrative assistance to other departments when needed.
  12. Performs other duties as assigned.

OTHER RESPONSIBILITIES

  1. Adheres to applicable regulatory requirements, organizational policies and procedures, and departmental guidelines.

QUALIFICATIONS

Education and Experience:

A high school diploma is required; an associate degree in administration or some college coursework is preferred. Three to five years of experience in an office environment or administrative support role is required, or an equivalent combination of education, training, and experience. 

Knowledge, Skills and Abilities:

  • Advanced verbal and written communication skills; ability to effectively communicate with employees, customers, vendors and/or others as required.
  • Ability to apply reasonable understanding in carrying out instructions in written, oral or diagram form.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Must maintain confidentiality and secure confidential documents and records.
  • Must be proficient with programs such as Microsoft Office Suite
  • Must maintain a high degree of accuracy in data entry.
  • Ability to handle competing priorities in a fast-paced environment.
  • Must be detail oriented and organized.
  • Strong interpersonal skills, service orientation, and ability to work effectively with others.
