Process Specialist is responsible for independently executing daily Import/Export operations with accuracy and efficiency, ensuring all transactional activities comply with established procedures, SLAs, KPIs, and regulatory requirements. This role focuses on the proficient processing of standard and moderately complex transactions, including documentation management, customs clearance coordination, and proactive stakeholder communication. The position requires solid understanding of operational procedures, ability to troubleshoot routine issues independently, and effective coordination with freight forwarders, customs brokers, and internal stakeholders. Acting as a reliable and competent team member, the Process Specialist provides peer support to fellow specialists and assists Senior Specialists with routine tasks, and contributes to operational efficiency through consistent execution and proactive problem-solving.

 

 

What will you be doing?

  • Independently perform daily transactional import/export activities in line with agreed SLA/KPIs, including accurate and efficient processing of standard and moderately complex import documentation.
  • Conduct accurate data entry in SAP and other systems, maintain proper filing systems, and ensure all import records are complete and up to date.
  • Proactively communicate with freight forwarders, customs brokers, and carriers on routine and moderately complex shipment matters, providing regular status updates and managing first-level inquiries professionally.
  • Troubleshoot routine operational issues independently (e.g., documentation discrepancies, minor delays) and escalate complex or non-standard problems to the Senior Import Specialist or Coordinator with preliminary analysis and context.
  • Ensure operational compliance with regulatory requirements, internal guidelines, Quality Management/Assurance standards, and ESHA principles in all daily activities.
  • Coordinate with internal departments (sales, planning, warehousing) on import-related matters and maintain positive working relationships with key internal and external stakeholders.
  • Support process improvement initiatives by proactively identifying operational inefficiencies, contributing improvement ideas, and assisting in updating work instructions and SOPs when procedures change.
  • Provide team support and knowledge transfer – act as backup for team members, assist in onboarding new employees under Senior Specialist guidance, and actively participate in team meetings and work shadowing sessions.
