Charles Taylor is a highly successful global provider of professional services to the insurance industry. We are seeking a dynamic Safety Operations Coordinator to join our team.
Job Summary
This role will serve as a key point of contact between clients, safety professionals, and internal teams while providing responsive customer service and helping ensure compliance with safety requirements and company standards. This position can be based in Cincinnati, Ohio, or performed remotely.
Responsibilities
- Recruiting for active projects
- Processing subcontractor invoices and timesheets
- Creating and maintaining weekly payroll submission reports
- Managing new project paperwork and client-required forms
- Assisting with proposal preparation and document formatting
- Coordinating project startup logistics and subcontractor onboarding
- Handling subcontractor questions, requests, and routine communications
- Entering information into client portals and vendor management systems
- Ordering and tracking drug screens and background checks
- Tracking training certifications and expiration dates
- Maintaining subcontractor files and compliance documentation
- Assisting with contract administration and document collection
- Managing project status spreadsheets and reporting
- Scheduling interviews, onboarding meetings, and project kickoff calls
- Coordinating travel arrangements and per diem documentation when required
- Managing general administrative duties and special projects as assigned
- Tracking certificates of insurance (COIs)
- Monitoring subcontractor compliance documents
- Managing safety credential records (OSHA cards, CHST, CSP, etc.)
- Maintaining CRM data and project tracking reports
- Assisting with invoicing and collections follow-up
- Creating project folders and maintaining file organization
- Supporting recruiting with resume formatting and candidate packets
Qualifications
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills with a strong customer-service mindset.
- Ability to build and maintain positive relationships with clients, safety professionals and internal teams.
- Strong attention to detail and accuracy when managing documentation.
- Ability to work independently in a remote environment while also collaborating effectively with a team.
- Ability to coordinate schedules, track projects, and follow established processes and procedures.
