The Milken Institute’s events and programmatic activities, involve the exchange of ideas with leaders from around the world. The Institute hosts more than 200 events each year, with our annual flagship event, Global Conference, bringing together 4,500+ participants from around the world, featuring more than 900+ speakers throughout 200+ sessions over the course of the event.
About the Position
The Milken Institute is seeking a Senior Associate to support the Milken Institute's Business and Program Development team in the Santa Monica office. This role is ideal for a highly organized, analytical professional who thrives at the intersection of data management, operations, and event operations execution. The Senior Associate will play a central role in supporting key constituency groups, including the Global Capital Markets Advisory Council (GCMAC), Forum for Family Asset Management (FFAM), and Young Leaders Circle (YLC). In this role, this individual will help manage high-impact projects, streamline workflows across internal teams, utilize AI tools, oversee data maintenance, support constituency group presence at major events of all sizes, and conduct all necessary outreach and follow-up. This position will work closely with colleagues in Business and Program Development, Events, and Communications.
The candidate will report to the Director, Business and Program Development, who oversees constituency groups. The right candidate will have exceptional organizational and analytical skills and the ability to keep internal and external stakeholders engaged throughout project development.
Responsibilities
Monitoring and evaluation
- Lead the collection, storage, cleaning, explanation, and analysis of constituency group data
- Maintain systems and processes to ensure accurate tracking and data upkeep for all constituency groups
- Regularly audit systems and externally shareable lists for upcoming payments, membership statuses/renewals, outdated information, etc.
- Utilize AI tools (e.g., Claude enterprise account) to create automated processes that seamlessly audit membership data and streamline reporting, list generation, etc.
Project Management and Process Improvement
- Lead invite process for small private events and large-scale conferences, including pulling invite lists from our CRM, auditing lists for accuracy, contacting internal relationship managers, finalizing invite copy, and adding relevant event logistics into Salesforce and Airtable
- Support inter-and intradepartmental communications to ensure smooth collaboration on projects and effective process implementation to achieve larger department needs
- Create and maintain documentation of best practices and processes for constituency groups
- Lead project management and team deliverables for constituency group experiences at both virtual and in-person events, including private sessions, roundtables, new member orientations, and quarterly conference calls
- Create compelling invite copy and externally shareable materials (e.g., briefings, agendas) for small- and large-scale events
- Utilize AI systems (e.g., Claude enterprise account) to identify and update manual and/or outdated processes for more streamlined projects
Internal Coordination
- Work with Communications team to create and update marketing collateral
- Work closely with Outreach & Engagement team to submit event requests, lead event invite process, and track invitation statuses
- Work closely with Event Operations team to submit event request forms and all necessary event logistics ahead of large-scale events
- Duties as assigned
Qualifications
- 2–5 years of relevant work experience
- A proactive, highly organized, detail-oriented, and enthusiastic development professional with relevant experience in project management, small event management, and data analysis
- Ability to manage complex projects and tasks in a fast-paced environment, with the capacity to prioritize effectively and respond promptly to internal and external communication
- Motivated self-starter and innovative problem-solver who can generate workable solutions and resolve issues in a timely fashion
- Seeks out additional tasks when current work is completed and anticipates needs over time
- An attitude of "no job is too small" and attention to detail that ensures rewarding experiences and outcomes for constituency group stakeholders
- Team player who works well with colleagues at all levels of an organization, including desire and ability to support relationships with senior-level decision-makers
- Intellectually curious, with a solid understanding of, or eagerness to learn about, the financial services industry
- Flexibility to work across time zones around the world
- Strong oral and written communication skills
- Bachelor's degree required
- Technically savvy with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); Salesforce is a plus
Working Conditions & Travel Requirements
This position will work in a professional office environment on a hybrid schedule consisting of three (3) days per week reporting in-person to the Santa Monica office location (Tuesday – Thursday), with the remaining two (2) days working remotely. Please understand, this schedule is subject to change at the Institute’s sole discretion.
This person will also be required to travel occasionally to other offices and/or venues to assist with events as needed, requiring occasional work outside of traditional hours. Domestic travel is possible. Additionally, this position requires interacting virtually on a regular basis with Milken Institute staff based in other locations in the United States and around the world.
