CEDA is looking to hire a Program Support Specialist – Production to support our Weatherization Department. This role is ideal for a highly organized professional who enjoys coordinating schedules, managing information, supporting operations, and helping teams achieve production goals. To be successful in this role, you should have skills and experience in, but not limited to, the following:

What You'll Do

  • Support Weatherization production activities by scheduling appointments, coordinating with clients, and maintaining accurate records in program databases and tracking systems.

  • Serve as a key resource for departmental initiatives, special projects, and operational support activities that help the team meet production goals.

  • Follow up with clients regarding program services and coordinate with Production, Contractor Relations, and Client Relations teams to resolve issues and ensure timely service delivery.

  • Utilize CRM and state-based tracking systems to manage job information, monitor progress, and maintain accurate program documentation.

  • Act as a liaison between Production, Internal Operations, Client Relations, Training, Fleet, and other departments to support effective communication and workflow coordination.

  • Assist with reporting activities, data collection, quality reviews, and compliance-related documentation.

  • Support contractor billing, cost reporting, and data entry activities within IHWAP, IWX, and other required systems.

  • Coordinate departmental meetings, training sessions, and events, including scheduling, tracking attendance, and maintaining records.

  • Contribute to process improvement initiatives by assisting with data validation, cleanup projects, and workflow enhancements.

  • Prepare reports and documentation with a high degree of accuracy while ensuring compliance with program policies, procedures, and reporting requirements.

  • Perform additional duties and special projects as assigned.

What You'll Bring

  • High School Diploma or GED required.

  • Two to three years of administrative support, program support, operations support, or related experience.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.

  • Excellent verbal and written communication skills with the ability to interact professionally with clients, contractors, and internal stakeholders.

  • Experience maintaining confidential information and exercising sound judgment and discretion.

  • Strong data entry, reporting, and documentation skills with exceptional attention to detail.

  • Proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.

  • Experience working with CRM systems, scheduling software, or job/file tracking databases.

  • Ability to work independently while collaborating effectively across multiple teams and departments.

Preferred Qualifications

  • Associate's degree or coursework in Business Administration, Public Administration, Social Services, or a related field.

  • Experience working in a regulated or compliance-driven environment, including government, nonprofit, housing, energy, healthcare, or social service programs.

  • Experience supporting weatherization, housing, energy assistance, or similar public service programs.

  • Familiarity with Illinois Home Weatherization Assistance Program (IHWAP) requirements and systems is strongly preferred.

  • Experience interacting directly with clients, contractors, vendors, or external partners.
