Fellow & Resident Surgery Coordinator

The Fellow & Resident Surgery Coordinator serves as the primary point of contact for patients,

referring providers, hospitals, and the surgical team to maintain open channels of communication

throughout the patient's surgical journey. This role is responsible for coordinating care for multiple

Oral & Maxillofacial Surgery Fellows and one Resident, ensuring e􀆯icient patient flow from referral,

consultation, insurance verification, and surgery scheduling through postoperative care while

supporting the mission and vision of the patient experience at Flagship Specialty

Partners/Carolinas Center for Oral & Facial Surgery.

This position requires exceptional organizational skills to balance clinic schedules, hospital

obligations, trauma cases, provider availability, and assistant surgeon assignments while

maintaining continuity of patient care across multiple practice locations and hospital systems.

Essential Duties & Responsibilities

Manages referral communication for complex cases to provide seamless and comprehensive

patient care coordination. Serves as primary point of contact for patients/families, physicians,

clinical sta􀆯, hospitals, fellows, residents, attending surgeons, and other healthcare professionals

to coordinate patient schedules, treatment programs, preoperative appointments, postoperative

care, and recommended services.

Coordinates the daily schedules of multiple Fellows and one Resident, balancing o􀆯ice clinics,

hospital rounds, operating room schedules, consultations, trauma responsibilities, educational

obligations, and emergency patient needs.

Works closely with attending surgeons to coordinate Fellow assignments as assistant surgeons for

scheduled surgical procedures, ensuring appropriate provider coverage while maintaining e􀆯icient

clinic and hospital workflows.

Monitors hospital operating room schedules and proactively adjusts Fellow and Resident

schedules to accommodate trauma cases, urgent add-on procedures, inpatient consultations, and

emergency surgical needs with minimal disruption to existing patient appointments.

Gathers and interprets appropriate data from the medical record, patient, and family as evidenced

by documentation. Has the clinical knowledge required to identify the need to modify care and/or

treatment plans according to specific patient demographics such as age and pre-existing or current

health conditions.

Submits insurance pre-determinations, pre-certifications, authorizations, and appeals for major

surgery cases (including supporting documentation such as letters, radiographs, CBCT imaging,

photographs, models, and medical records). Responds to Estimate of Benefits and communicates

with patients throughout the insurance approval process.
