Position Summary

The Human Resources Generalist supports HR Operations by administering leave and accommodation programs and managing employee data and compliance-related activities. This role serves as the primary coordinator for high-volume, compliance-sensitive leave and accommodation cases, including oversight of the third-party leave vendor, and develops clear, repeatable processes to promote accuracy, consistency, and operational efficiency.

Based on-site in Irving, Texas, the HR Generalist works closely with the Director and HR Operations team, exercises sound judgment in routine matters, promptly escalates issues involving potential legal or compliance risk, and maintains thorough documentation of core processes.

Job Responsibilities

Leave & Accommodation Administration

  • Administer FMLA, state, and company leave programs; intake, case setup, tracking, and closure.

  • Manage third-party leave administrator relationship: claims monitoring, weekly leave reporting, and issue resolution, with escalation to leadership on unresolved vendor performance matters.

  • Process leave-related Workday transactions, including suspension and reactivation of system access for non-exempt employees on continuous leave.

  • Provide payroll with accurate, timely leave-of-absence information, including wage continuation and return-to-work status.

  • Maintain and communicate leave policy updates in coordination with Legal and leadership.

  • Schedule and coordinate interactive-process meetings between employee, leader, and HRBP, and manage accommodation paperwork intake, tracking, and documentation through to case closure.

  • Prepare case summaries and supporting documentation for review by appropriate HR leadership.

Employee Data Management

  • Own name, address, and job profile changes, including multi-state address changes triggering tax or compliance review.

  • Create and audit supervisory organizations and cost-center assignments in Workday; flag discrepancies before they reach payroll.

  • Process phone number updates, business card requests, and related employee data changes.

Employment Verification & Employee Support

  • Process employment verification requests within service-level timeframes.

  • Monitor and respond to the HR helpline/shared inbox.

Operating Discipline

  • Develop and maintain clear, current process documentation.

  • Cross-train team members to support business continuity.

  • Identify and escalate opportunities to improve HR processes, systems, and employee self-service.

Required Qualifications

  • 4+ years of professional HR experience, with direct, hands-on ownership of leave administration (FMLA and state-specific leave law).

  • Demonstrated experience managing a third-party leave or benefits vendor relationship.

  • Working proficiency in an HRIS (i.e. Workday, ADP, Oracle) specifically the Absence and HCM modules.

  • Working knowledge of ADA interactive-process requirements and experience coordinating accommodation cases.

  • Demonstrated judgment handling confidential medical and personal information with discretion.

  • Demonstrated ability to develop standardized, documented processes in a high-volume environment.

  • Willingness and ability to work on-site in Irving, TX, alongside the Director and HR Operations team.

  • Strong written and verbal communication skills; comfortable being the point of contact for employees, leaders, and HRBPs on sensitive matters.

  • Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook.

Preferred Qualifications

  • PHR, SHRM-CP, or Certified Leave Management Specialist (CLMS) credential.

  • Prior experience in a multi-state or publicly traded company with HR controls supporting Sarbanes-Oxley compliance.

  • Experience supporting EEO-1, VETS-4212, or Affirmative Action Plan data collection.

  • Working proficiency in Workday

Physical Demands

  • Regularly works at a computer and uses standard office equipment for extended periods.

  • Frequently communicates and exchanges information with employees, leaders, vendors, and other business partners.

  • Regularly remains in a stationary position and occasionally moves within the office.

Training

  • All job specific, safety, and compliance training are assigned based on the job functions.

Other

  • Willingness to work overtime when needed.
