About the role

The Onboarding Specialist plays a critical role in facilitating a seamless onboarding experience for all new hires. Acting as the primary bridge between Talent Acquisition and HR, this role ensures background checks are completed in a timely manner, ensures pre-employment documentation is completed, and cross-functional coordination is handled with precision. The position focuses on delivering an engaging, consistent, and supportive transition for candidates from offer to day one.

  • Partner with internal teams to manage the pre-hire journey, ensuring a high-quality experience from offer to induction.
  • Coordinate the background check process, actively following up with vendors and candidates to maintain momentum.
  • Ensure essential pre-employment documentation is fully executed.
  • Collaborate with managers to ensure onboarding plans are established prior to start dates.
  • Analyze existing workfl ows to design and deliver scalable, repeatable onboarding processes utilizing AI and automation tools.
  • Serve as the cross-functional connector to ensure a smooth transition from candidate to employee administration.
  • Monitor new hire metrics to proactively improve onboarding experiences.
  • Enhance communication across internal stakeholders to build stable working relationships and maintain alignment on talent readiness.
  • Promote a positive candidate experience throughout onboarding to support and strengthen the global employer brand.




Requirements

  • 3+ years of experience managing high-volume administrative operations, onboarding workflows, or candidate-centric processes in a fast-paced environment.
  • Proven track record of managing rigorous data verification workloads (e.g., background checks, right-to-work) and driving compliance steps with external entities.
  • A solid foundational understanding of general HR operations, employment compliance, and basic employment contract administration.
  • Familiarity with HRIS (ideally Workday).
  • Ability to apply process optimization principles to transform manual tasks into repeatable workfl ows, with profi ciency in utilizing AI tools to scale processes.
  • Problem-solving skills with a proven ability to build relationships, navigate bottlenecks, and manage vendor relationships effectively.
  • Good interpersonal, written, and verbal communication skills, paired with active listening to support new hires and internal teams.
  • A high level of attention to detail, ensuring data integrity and compliance across all onboarding pipelines.
