Job Description:
The Procurement Support plays a key supporting role in enabling the smooth and efficient operation of the procurement function. This position is responsible for providing comprehensive administrative and coordination support across day-to-day departmental activities, including travel arrangements, meeting and event coordination, documentation management, project management and stakeholder communication. The role ensures governance, accuracy, and timeliness of information while helping the procurement team focus on strategic and value‑adding activities. The successful candidate will be highly organised, detail-oriented, and comfortable working in a fast-paced, global environment with multiple stakeholders.
Key Accountabilities
- Provide high-level administrative support to the Procurement leadership team, including scheduling meetings, managing calendars, coordinating travel arrangements, and processing expenses.
- Assist in the preparation of presentations, reports, and other internal and external communications, ensuring accuracy and adherence to brand guidelines.
- Facilitate effective team collaboration by organizing and maintaining team documents, platforms, and communication channels.
- Support the planning and execution of team events, workshops, and stakeholder engagement activities.
- Act as a central point of contact for internal and external stakeholders, effectively triaging inquiries and ensuring timely responses.
- Provide project management support for transformation projects and follow up progress until its completion.
- Contribute to problem-solving efforts by identifying and escalating potential issues and proposing solutions.
- Actively participate in team meetings, capturing key decisions and action items, and following up on their completion.
- Embrace and adapt to changing priorities and evolving project requirements.
- Demonstrate strong self-awareness and proactively seek opportunities for personal and professional growth.
Essential Education
- Diploma educated - something related to business administration or project management preferred
Essential Experience and Job Requirements
Functional expertise
- Proven experience in an administrative or team support role, ideally within a dynamic and fast-paced environment.
- Experience in project management.
- Exceptional written and verbal communication skills, with the ability to articulate complex information clearly and concisely.
- Strong organizational skills and meticulous attention to detail.
- Demonstrated ability to collaborate effectively with diverse teams and stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Co-pilot and other relevant collaboration tools.
- Ability to exercise courage in challenging situations and propose innovative solutions.
- A proactive and adaptable mindset, with a strong commitment to excellence.
- Demonstrated knowledge sharing capabilities, willing to contribute to team learning and development.
- Excellent listening skills, with the ability to understand and interpret needs effectively.
- A strong understanding of emotional intelligence and the ability to navigate interpersonal dynamics.
- Proven ability to engage and manage stakeholders at various levels.
Business expertise: Stakeholder management and influencing skills in order to develop understanding of the supported businesses / regions / assets and their priorities.
Interpersonal skills: The role demands good people skills to engage with diverse stakeholders.

- Experience in interaction with external suppliers (e.g. event management) where appropriate
