Assistant, Creative-ATL
About this role
POSITION SUMMARY: Assists Creative Team with reception duties and administrative support using various tools and sources. Operates a multi-line telephone system to answer incoming call to direct and assist callers as needed. Interfaces with internal and external guests on various levels to represent BMI in a professional, positive manner.
FUNCTIONS OF THE JOB
- Answers incoming telephone calls and forwards calls to appropriate personnel or department. Delivers messages or transfer calls to voice mail when appropriate staff members are unavailable.
- Answers questions about organization and provides callers with address, directions and other information.
- Welcomes on-site visitors, monitors/issues visitor passes, determines nature of business and announces visitors to appropriate personnel.
- Conducts research using various internal tools, including BMI participant database, email, and external tools.
- Maintains appointment and event calendars in Google Sheets as required.
- Creates and prints memos, correspondence, reports and other documents when necessary.
- Performs clerical duties as needed, such as filing, photocopying, mailing, shipping and collating.
- Assists BMI affiliates, via the Atlanta Inbox, with questions about BMI’s website, works registrations, resets online account login information, address changes, royalty statements,etc.
- Maintains office inventory, orders office supplies, maintains equipment for Atlanta Office and Creative-ATL staff in Los Angeles and New York.
- Schedules affiliates to use the Atlanta Office writer’s room and confirms Wi-Fi requests.
- Trains and assists Seasonal Temp for Holiday office coverage.
- Supports Executive Director with expense filing, calendar appointments and affiliate requests.
- Communicates and collaborates with graphic designers and department leaders on flyer designs for team events.
- Supports a variety of special events (Panels, R&B Hip Hop Awards, Holiday Dinner, Trailblazers & Employee Appreciation Day) with general administrative tasks.
- Regular attendance.
- Other duties as assigned.

POSITION QUALIFICATION REQUIREMENTS
Education: Bachelor’s Degree or equivalent preferred
Experience: Minimum one (1) year of administrative experience
Skills and Abilities:
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office.
- Experience working with and maintaining database systems and reports, as well as word processing and spreadsheets.
- Able to establish a constructive and informative relationship with employees, management, writers, and publishers.
- Ability to interact professionally with a diverse employee population, and with all levels of staff and management.
- Able to work independently and with good judgment.
- Attention to detail.
- Ability to prioritize multiple assignments to meet deadlines.
- Strong typing and proofreading skills.
- Working knowledge of the music industry.
