Role Overview
The BWS Special Projects Unit oversees BWS’s long-standing projects while leading the development and
pre-production of new show formats, emotional masterplanning, and attraction
concepts. The Unit operates across multiple disciplines, including:
- Live
events and ceremonies
- Ticketed
shows, based on original IP
- Architecture
and design of theatres and public spaces
- Temporary
and permanent artistic installations and exhibitions
We nurture each project from its
earliest conceptual stage, guiding it from an abstract opportunity into a fully
realized production. Through a step-by-step process, we transform visionary
ideas into tangible, impactful experiences.
The Project Manager works in
close collaboration with the Head
of Production and the Executive Producer, supporting the
overall planning, production and management of the projects assigned to the
Special Projects Unit.
This role is central to the management of all operational, logistical, and
financial aspects of each project, ensuring that schedules, budgets, and
quality standards are met.
Acting as the
operational bridge between the creative vision and production execution, the
Project Manager ensures smooth communication across departments, alignment with
project objectives, and timely delivery of milestones.
The ideal
candidate combines strong organizational and analytical skills with a proactive
and solution-oriented attitude, capable of working in dynamic,
multidisciplinary, and international environments.
Main Responsibilities
- Manages the
start-up phase of projects, defining planning, scheduling, task
distribution and resource allocation.
- Scouts, hires, and
appoints key project roles
- Defines and monitors budgets and project costs
throughout development and delivery, ensuring compliance with financial
targets.
- Manages project
documentation,
including timelines, contracts, production plans, and reports.
- Liaises with creative,
production, and technical teams to ensure clear communication and operational
alignment.
- Supervises suppliers
and freelancers,
ensuring deliverables meet quality, timing, and budget expectations.
- Tracks project
milestones,
identifies potential risks, and supports the implementation of corrective
actions.
- Assists in feasibility
studies and supports the preparation of proposals, budgets, and planning materials.
- Maintains day-to-day
communication with clients and stakeholders, ensuring expectations
are managed and updates are shared effectively.
- Ensures compliance with
internal processes and workflows, contributing to continuous improvement of
production efficiency.
- Supports on-site
coordination during production and delivery phases, ensuring high standards of execution.
Requirements
- 10 years of experience in production or
project management within large-scale events, ceremonies, or live entertainment
industries.
- Proven ability to
manage complex workflows, budgets, and schedules.
- Strong organizational
and multitasking skills, with a keen eye for detail and deadlines.
- Excellent communication
and interpersonal skills, with a collaborative mindset.
- Proficiency in project
management tools and budget tracking systems.
- Experience in working
with multidisciplinary international teams.
- Flexibility,
adaptability, and a hands-on approach to problem-solving.
- Availability to travel internationally
according to project needs.
