Receptionist, Front Desk (Part Time Tues-Thurs) Design District
About this role
The Receptionist will organize office communication and activities on a day-to-day basis. This individual’s primary responsibilities include handling incoming calls and visitors while maintaining office common areas, ordering supplies, and facilitating meetings. Responsibilities within the company will be added to this entry-level position with continued experience and growth. Must be reliable, punctual, organized, and have demonstrated ability to juggle multiple priorities and deadlines. Excellent interpersonal skills, pleasant phone manner, outstanding customer service, and commitment to our core values are required.
Responsibilities
Manage the reception area, including greeting guests, answering and disseminating calls, and receiving and distributing mail.
Order and process check requests for office supplies and furniture, office equipment, etc.
Supervise the maintenance of office equipment, including copier, fax machine, etc.
Manage conference room reservations and organize meetings and conference calls.
Manage arrangements for a quarterly meeting to include (flights, hotels, reservations, etc.)
Arrange and coordinate meetings for management as requested.
Update various spreadsheets and other general administrative duties as needed.
Perform duties as assigned by CEO, Director of Human Resources, and Management as needed.
Maintain supplies by checking stock to determine inventory levels, anticipating upcoming needs, placing and expediting orders, verifying receipt, stocking items, and delivering supplies to workstations.
Enhance organizational values by accepting ownership for work and exploring opportunities to add value to job accomplishments.
Skills and Qualifications
High school Diploma required; bachelor’s degree preferred
Working knowledge of mail processes such as postage machine, FedEx, USPS, and UPS
Good planning and organizational skills; attention to detail
Well-developed interpersonal and communication skills, both written and verbal
Professional appearance and manner
Computer literacy, specifically MS Word, Excel, PowerPoint, Google Suite
Minimum two years relevant experience
