Job Summary

We are seeking a skilled and proactive M365 Business Analyst to bridge the gap between our business stakeholders and our technical IT teams. In this role, you will be responsible for evaluating business processes, uncovering areas for improvement, and leveraging the Microsoft 365 ecosystem to design, optimize, and implement digital workplace solutions. You will play a crucial role in driving productivity, process automation, change management, and the overall adoption of modern workplace tools across the organization.

Key Responsibilities

1. Requirements Gathering & Process Analysis

Collaborate with business units to map out current-state workflows and identify bottlenecks, manual processes, or inefficiencies.

Elicit, analyze, and document comprehensive business and functional requirements.

Translate business needs into technical user stories, functional specification documents (FSDs), use cases, and process wireframes.

2. Solution Design & Optimization

Design and architect business solutions utilizing the M365 suite (SharePoint Online, Teams, OneDrive, Planner, Viva, and M365 Copilot).

Leverage the Microsoft Power Platform (Power Apps, Power Automate, and Power BI) to build low-code solutions, automate repetitive processes, and deliver actionable data dashboards.

Conduct gap-fit analyses to evaluate out-of-the-box M365 capabilities against custom development needs.

3. Change Management & Adoption

Act as a digital workplace champion, planning and execution campaigns to drive the adoption of new M365 tools and features.

Create and maintain user guides, training materials, and documentation for both technical and non-technical stakeholders.

Conduct interactive workshops, product demonstrations, and training sessions across various departments.

4. Testing & Project Delivery

Coordinate and lead User Acceptance Testing (UAT), creating test scripts and validating that final solutions match documented requirements.

Manage project lifecycles using Agile/Scrum methodologies, tracking tasks and triaging feedback via project tools (e.g., JIRA, Azure DevOps).

Liaise with M365 administrators, architects, and external vendors to ensure solutions comply with corporate governance, security, and licensing standards.

Technical Skills & Qualifications

Required:

Education: Bachelor’s degree in Business Administration, Information Systems, Computer Science, or a related field.

Experience: 3 to 6 years of experience as a Business Analyst, specifically focused on enterprise-scale Microsoft 365 or SharePoint transformations.

M365 Ecosystem Expertise: Deep functional knowledge of SharePoint Online (Modern Experience), Microsoft Teams, OneDrive, Forms, and Planner.

Power Platform: Proven experience configuring Power Apps (canvas/model-driven) and Power Automate cloud flows.

Methodologies: Strong proficiency in BA techniques (e.g., SWOT, gap analysis, requirements traceability matrices) and Agile framework methodologies.

Preferred / "Nice to Have":

Familiarity with data analysis tools like Power BI or advanced Excel.

Experience with M365 Copilot deployment, prompting strategies, and adoption metrics.

Relevant certifications: Microsoft 365 Certified: Fundamentals (MS-900), Power Platform Functional Consultant (PL-200), or PMI-PBA / CBAP.

Understanding of ITIL processes (Incident, Change, and Request management).

Core Competencies (Soft Skills)

Communication: Exceptional written and verbal communication skills, with the ability to explain complex technical logic to non-technical business leaders.

Problem Solving: A critical and analytical thinker who loves diagnosing workflow puzzles and inventing streamlined digital solutions.

Stakeholder Management: Comfortable building strong relationships and leading cross-functional alignment sessions across geographies.

Salary: 12000 - 15000 MYR Per month
