What You'll Do

As an Assistant Program Coordinator, you will:

Supervise and direct the work of Residential Specialists, Medical Appointments/ medication management (in conjunction with the Program Coordinator), Attend all consumer medical appointments, communicate with other departments, including nursing, training, etc. Ensure the site is in compliance with all 6400 regulations. Complete weekly oversites, daily medication reviews, and review of electronic documentation of the individual's day and goal implementation. Maintain professional communication with all parties both internal and external. The schedule is primarily business hours; however it will vary depending on the needs of the program.

  • Assist with the oversight and operation of a Community Living Arrangement (CLA).
  • Ensure individuals experience meaningful daily activities and receive quality supports.
  • Provide weekly oversight of assigned residential programs.
  • Conduct program quality inspections and monthly fire drills.
  • Ensure the home environment remains clean, safe, and compliant with agency and regulatory standards.
  • Assist with emergencies and provide support during crisis situations.
  • Supervise, mentor, and direct Residential Specialists.
  • Attend consumer medical appointments and assist with medication management oversight.
  • Monitor medication refills, medication administration documentation, and staff medication training compliance.
  • Participate in the on-call rotation and provide support for assigned homes as needed.
  • Participate in PART team activities and required trainings.
  • Conduct staff training, medication practicums, orientations, and individual-specific training.
  • Monitor employee training compliance and communicate upcoming training needs.
  • Review consumer records and EMR (SETWORKS) documentation daily to ensure completeness and accuracy.
  • Follow up on missing documentation and elevate concerns to leadership.
  • Provide coaching, performance feedback, and support to staff members.
  • Assist with employee performance evaluations and staff development.
  • Monitor household food supplies, petty cash, consumer funds, and required financial documentation.
  • Ensure all required program paperwork, SETWORKS documentation, and medication records are completed timely.
  • Assist with staff scheduling, shift coverage, and overtime reduction efforts.
  • Report incidents according to agency policy and support incident follow-up activities.
  • Communicate effectively with families, case managers, counselors, employers, funding sources, and community partners.
  • Maintain company vehicles and assist with vehicle and wheelchair securement training.
  • Co-facilitate staff meetings and assist with additional duties as assigned.

Qualifications

Required:

  • High School Diploma or GED.
  • Valid driver's license, current vehicle registration, reliable transportation, and current vehicle insurance.
  • Knowledge of Microsoft Office programs.
  • Ability to work independently while maintaining professionalism and sound judgment.
  • Strong communication, organizational, and leadership skills.
  • Ability to supervise and support direct care staff.
  • Ability to maintain confidentiality and comply with HIPAA requirements.

Preferred:

  • One (1) year of experience in human services or a related field.
  • Knowledge of and ability to work with individuals with mental health diagnoses.
  • Experience in residential services, behavioral health, or developmental disability programs.
  • Strong documentation and organizational skills.
  • Detail-oriented with the ability to manage multiple priorities.

Schedule

  • Full-Time
  • Participation in an on-call rotation is required
  • Must be available to respond to residential program needs as assigned
  • Flexible schedule based on program needs
  • Some evenings, weekends, and holidays may be required

Physical Requirements

  • Ability to lift, push, and/or pull up to 50 pounds.
  • Ability to sit, stand, walk, bend, reach, stoop, twist, and climb stairs.
  • Ability to drive a vehicle and operate adaptive equipment and household appliances.
  • Ability to perform essential job functions with or without reasonable accommodation.
