The Medical Records Specialist is responsible for the accurate management, processing, and maintenance of patient medical records to support clinical operations, regulatory compliance, and continuity of care. This role ensures timely and accurate documentation handling, including record requests, audits, and data entry, while maintaining strict adherence to HIPAA and organizational standards. The Specialist collaborates with clinical, administrative, and external stakeholders to ensure records are complete, accessible, and compliant with all applicable requirements. Success in this role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced healthcare environment. 
 
In this role, you will: 
  • Process, review, and maintain patient medical records to ensure accuracy, completeness, and compliance with organizational and regulatory requirements.
  • Respond to internal and external medical records requests, ensuring timely fulfillment in accordance with HIPAA and company policies.
  •  Perform quality checks on documentation to identify discrepancies or missing information and follow up with appropriate stakeholders for resolution.
  • Accurately enter and update patient information within electronic medical record (EMR) systems.
  • Support audit readiness by organizing and maintaining records in accordance with established standards and retention policies.
  • Collaborate with clinical and administrative teams to ensure documentation supports continuity of care and authorization requirements.
  • Track and monitor record requests, ensuring deadlines and service level expectations are met.
  • Maintain confidentiality and security of patient information in all processes and communications.
  • Assist with process improvement initiatives to enhance efficiency, accuracy, and compliance in medical records management.
Qualifications:
  • High school diploma or equivalent required
  • 3+ years of experience in medical records, health information management, or a related healthcare administrative role
  • Experience working with EMR systems and knowledge of HIPAA regulations required
