Division Overview

The Registration Specialist is responsible for the planning, administration, and execution of registration operations for ACS meetings and events, ensuring a seamless and customer focused experience for thousands of attendees annually. This role independently manages the configuration, execution, and ongoing optimization of registration platforms, collaborates with internal teams and vendors to align timelines and requirements, maintains data integrity and system integrations, and serves as a functional lead for onsite registration delivery. Through strong coordination, reporting, and service standards, the Registration Specialist supports the success and professionalism of ACS’s large scale scientific events.
Strategic Key Responsibilities
1. Registration Strategy & Platform Administration
Manage end‑to‑end configuration, execution, and performance of ACS meeting registration platforms, ensuring accurate setup, testing, and deployment across national, regional, and specialty events. Identify opportunities for process improvements within established systems and standards.
2. Cross‑Functional Registration Planning
Establish and manage registration timelines, milestones, and workflows while partnering with internal stakeholders, vendors, and event leads to ensure alignment, consistency, and operational readiness across all meetings.
3. Ensure Data Integrity, Systems Integration & Reporting
Guide the integration and accuracy of registration data across systems (housing, membership, finance) troubleshoot data issues and develop reports and insights to support operational decision‑making and post‑event evaluation.
3. Direct Customer Experience & Service Standards
Define and maintain customer support processes and oversee issue resolution to maintain high‑quality service for both internal partners and event attendees.
4. On‑Site Registration Operations
Serve as the functional lead for onsite registration execution, staffing, training, and logistical coordination to ensure a professional, efficient, and service‑oriented attendee arrival experience.
5. Manage Vendor & Resource Relationships
Serve as the primary liaison to registration vendors and manage procurement, materials, staffing needs, and other resources required to support registration operations.
Qualifications

- Ability to manage multiple priorities and deadlines independently
- Works cooperatively and efficiently with internal and external teams
- Strong customer‑service orientation with experience resolving complex issues
- Advanced proficiency in MS Excel and spreadsheet‑based reporting
- Demonstrates excellent organizational, time-management, and analytical skills
- Strong verbal and written communication skills
- Comfortable in a customer service role
- Ability to interpret and apply written procedures, guidelines, and system requirements
- Excellent attention to detail, maintaining quality and accuracy of work products
- Experience with Cvent, CDS, Maritz or other known customized registration systems
- Ability to travel approximately 20%
- Ability to work nights, weekends to ensure the execution of successful events
- Ability to lift 25lbs or more and move about to accomplish tasks
Required Experience
Requires BA/BS degree or equivalent. Minimum of 3+ years of relevant registration experience to include customized registration buildouts and implementation.
This role is based in our Washington, DC office. ACS employees work a hybrid schedule, consisting of working onsite two days per work week, as decided by functional area. The balance of the week is open to working remotely, though employees are always welcome onsite each day if they choose.
A reasonable rate of compensation for this position is between $70,000 – $80,000 per year.
