Job Brief:



Advanced Business Solutions is a growing Amman-based company. As we scale, the CEO’s office needs more than scheduling support — it needs an owner of follow-through. This is not a traditional secretarial role. Your core mandate is accountability: making sure that every commitment made to or by the CEO — in meetings, in email, across departments — has an owner, a date, and a closed loop. Your job is to make sure nothing slips silently.



A large part of this role is politely and persistently pursuing senior people about overdue commitments — every day, as a system, not as an exception. If keeping a complete list and closing every item on it is something you find genuinely satisfying, this role was designed for you.





Responsibilities:



•      The commitment register: a live record of every dated promise made in leadership meetings, 1:1s, and the CEO’s correspondence — who owes what, to whom, by when.



•      Follow-up and escalation: remind owners before deadlines, chase on the day, and escalate to the CEO within 24 hours when an item goes silent — including with senior managers.



•      Leadership meetings: attend, capture crisp minutes and action items with owners and dates, circulate same-day, and open the next meeting’s agenda with the status of every open item.



•      The follow-up system itself: run and continuously improve the tools behind the register (email-based reminder tools, shared boards), so reminders reach owners automatically and nothing depends on memory.



•      Reporting: a concise weekly summary to the CEO — loops closed on time, loops open, and patterns worth attention.



•      Executive office support: correspondence, coordination between departments, and preparation of documents and briefs for the CEO as needed.





Skills Required:



•      Bachelor's degree in Business Administration or a related field.



•     2+ years of experience supporting senior leadership — as an EA, office manager, PMO/project coordinator, or similar — in an environment where deadlines had real consequences.



•      A personal, provable system for tracking commitments. In the interview we will ask you to show us how you track what people owe you — and to draft a follow-up message, in Arabic and in English, on the spot.



•      Assertive politeness: the confidence to remind a senior manager for the third time — firmly, respectfully, and without apology or friction.



•      Excellent written Arabic and English; sharp, unambiguous minute-taking.



•      Full fluency with modern digital tools (task boards, email automation, spreadsheets); experience with KPI tracking or PMO coordination is a strong plus.



•      Absolute discretion. This seat sees sensitive commercial, customer, and personnel matters.



•      Availability beyond office hours: reachable for matters outside standard working hours — the CEO’s office does not fully switch off at the end of the day, and neither do open loops.



•      Willingness to travel when needed, inside or outside Jordan, to support the CEO or follow up on company business.
