Site Administrative Assistant
About this role
Key job responsibilities
- Organizing, budgeting and expense management for site events and team activities
- Support onboarding activities and workspace allocation.
- Calendar and schedule management skills with the ability to de/re-prioritize events based on business needs
- Co-ordinating travel related tasks for leadership (domestic and international) — including flight, cabs and hotel booking
- Collaborate and close loop issues with real estate, security, facilities and transport vendors etc. for site related activities
- Single point of contact for all Site events.
- Driving employee morale related initiatives
Basic Requirements
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook
- Proficiency in verbal and written communication with a collaborative, team-centric approach
- Strong organizational and multitasking abilities.
- Ability to work independently and manage priorities.
- Customer-focused mindset with attention to detail.
- Integrity and discretion in handling confidential information
- Attention to detail across all tasks and communications
- Experience in supporting site administration in a fast-paced environment
- Experience in organizing, budgeting and expense management for site events and team activities
- Experience in coordinating meetings and off-sites across multiple time zones and geographies
Basic Qualifications: - Work a flexible schedule/shift/work area, including weekends, nights, and/or holidays
- Bachelor's degree or equivalent Preferred Qualifications: - Experience with end-to-end project management
- 1+ years of facilities management, office management, corporate administrative services, or hospitality management experience
