The Regional Operations Project Manager supports the execution and implementation of defined operational initiatives across multiple physician practices. Working under the direction of Operations Leadership, this role coordinates assigned projects, develops implementation plans based on established objectives, supports practice-level execution, and tracks progress through implementation and stabilization.

The position serves as a hands-on implementation resource for practice managers, providers, and operational leadership. Key areas of project support may include provider productivity, patient access, scheduling optimization, AthenaOne workflow adoption, patient experience, operational efficiency, and value-based care initiatives.

This role is primarily responsible for project coordination, implementation, and practice-level support. The position may identify opportunities and recommend solutions based on observations and operational data; however, strategic direction, prioritization of organizational initiatives, operational policy, ongoing practice performance management, and final decision-making remain with Operations Leadership and designated regional or practice leaders.

The duties include, but are not limited to:

Project Coordination & Implementation

  • Coordinate implementation of operational projects and initiatives assigned by Operations Leadership.

  • Develop and maintain project plans, timelines, implementation schedules, and deliverables based on established project objectives.

  • Coordinate project activities across participating practices and cross-functional departments.

  • Track milestones, action items, risks, dependencies, and project status and provide regular updates to Operations Leadership.

  • Follow up with assigned stakeholders to support timely completion of project deliverables and action items.

  • Identify implementation barriers and work with appropriate stakeholders to resolve project-level issues within the established scope.

  • Escalate significant operational issues, resource needs, or matters requiring leadership decisions to the appropriate operational leader.

  • Support assigned projects through implementation, stabilization, and transition to ongoing operational ownership.

Practice Implementation Support

  • Serve as a field-based implementation resource for practice managers, providers, and frontline staff during assigned operational initiatives.

  • Support practices with implementation of approved workflows, processes, tools, and organizational standards.

  • Provide hands-on and at-the-elbow support during operational rollouts and process changes.

  • Conduct onsite observations and assessments to identify workflow adoption gaps and implementation barriers.

  • Assist practice leadership with implementation of approved changes related to patient access, scheduling, provider templates, patient flow, and operational efficiency.

  • Support AthenaOne workflow implementation, optimization, training, and adoption.

  • Develop workflow documentation, implementation tools, and training resources to support consistent execution.

  • Provide follow-up support after implementation to reinforce established workflows and identify issues requiring additional intervention or leadership direction.

Performance & Operational Support

  • Track operational measures associated with assigned initiatives, including provider productivity, patient access, scheduling utilization, quality performance, patient experience, and value-based care.

  • Compile and analyze operational information to identify trends, implementation gaps, and areas requiring additional support.

  • Present findings and potential opportunities to Operations Leadership to inform operational decision-making.

  • Support implementation of leadership-approved performance improvement initiatives and corrective action plans.

  • Assist practices with implementation of Annual Wellness Visits, care management, quality measures, attribution growth, and other established value-based care initiatives.

  • Track adoption and effectiveness of implemented workflows and report results to leadership.

  • Identify effective workflows or implementation approaches that may be considered for use across additional practices.

Collaboration & Communication

  • Coordinate with Regional Vice Presidents, District Directors, Practice Managers, Clinical Leadership, IT, Analytics, Revenue Cycle, Care Management, and other departments on assigned projects.

  • Facilitate project meetings and maintain documentation, action items, timelines, and follow-up activities.

  • Maintain project-level accountability by following up on agreed-upon actions and communicating delays or barriers to appropriate stakeholders.

  • Communicate implementation updates, barriers, risks, and project status to Operations Leadership and other appropriate stakeholders.

  • Develop implementation tools, training materials, workflow documentation, and project resources as needed.

  • Support communication and change management activities associated with assigned operational initiatives.

  • Escalate matters requiring operational decisions, changes in organizational direction, additional resources, or ongoing performance management to the appropriate operational leader.

Qualifications or Education, Training and Experience

Required

  • Bachelor's degree in Healthcare Administration, Business Administration, Public Health, or related field, or equivalent experience.

  • 3+ years of healthcare operations or project implementation experience within a physician practice, medical group, MSO, IPA, or health system environment.

  • Experience supporting multiple ambulatory practice locations.

  • Direct experience with AthenaOne.

  • Experience supporting implementation and adoption of operational workflows.

  • Strong project coordination, organizational, and problem-solving skills.

  • Ability to analyze operational data and communicate findings to leadership.

  • Excellent communication and relationship-building skills.

  • Willingness to travel regularly throughout the region.



Preferred

  • Experience in value-based care environments.

  • Experience supporting primary care and specialty physician practices.

  • Lean, Six Sigma, or Project Management certification.

  • Experience with provider productivity, scheduling optimization, and patient access initiatives.

  • Experience supporting AthenaOne workflow optimization.

  • Experience supporting quality improvement and population health initiatives.

The compensation range for this position is $82,000 - $90,000 annually. Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, abilities, and location, as required by the role, as well as internal equity and alignment with market data.
