Position Summary

The Executive Administrative Assistant will provide high-level administrative, operational, and strategic support to the leadership team. This role requires exceptional organizational agility, attention to detail, judgment, and the ability to manage complex priorities in a dynamic business environment. The ideal candidate will operate with professionalism, discretion, and a proactive mindset while partnering closely with internal and external stakeholders.

Key Responsibilities

Executive Support

· Manage and optimize the Leader’s complex calendar, including prioritizing appointments, resolving conflicts, and ensuring preparedness for all engagements.

· Coordinate domestic and international travel, including itineraries, logistics, and expense reconciliation.

· Prepare, review, and edit executive-level presentations, documents, and briefing materials.

· Maintain strict confidentiality while managing sensitive business and personnel information.

Business Operations & Coordination

· Support planning and execution of business reviews, operating rhythms, QBRs, and leadership meetings.

· Track and follow up on action items, deadlines, and commitments for the leader and the extended leadership team.

· Assist in managing departmental priorities, ensuring alignment across Professional Services GCC and connected business functions.

· Coordinate cross-functional initiatives, internal events, leadership offsites, and stakeholder communications.


Administrative Excellence

· Oversee end-to-end meeting management: agendas, minutes, decision logs, prep material, and follow-ups.

· Coordinate with procurement and vendor teams for event logistics, budgets, and vendor management.

· Manage documentation, approvals, compliance workflows, and internal systems (travel, expenses, procurement, etc.).

People & Stakeholder Engagement

· Act as the Leaders primary point of contact, fostering strong working relationships with internal teams, customers, partners, and external vendors.

· Support hiring coordination, including scheduling interviews and ensuring a strong candidate experience.

· Assist HR and leadership teams with communication drafts, announcements, HR cycles, and organizational updates.

Required Skills & Competencies

· Excellent Communication: Clear, concise verbal and written communication across stakeholders and leadership levels.

· Organizational Mastery: Ability to manage multiple priorities, anticipate needs, and stay ahead of schedule.

· Strong Time Management: Skilled at handling dynamic priorities and peak workloads.

· Problem-Solving & Sound Judgment: Ability to navigate ambiguity, solve issues proactively, and make appropriate decisions.

· Stakeholder Management: Professional presence and the ability to interact confidently with senior leaders.

· Technical Proficiency:

o MS Office (PowerPoint, Excel, Word)

o Outlook & Teams

o Experience with travel/expense systems (Concur, SAP, or equivalent)

Preferred Qualifications

· 4-7 years of experience supporting senior leaders (Director/VP/CXO) in a global or tech/consulting environment.

· Proven experience managing executive-level communication, presentations, and business rhythms.

· Strong ability to coordinate cross-functional initiatives with minimal supervision.

· Prior experience in Professional Services, Consulting, IT Services, or GCC environments is a plus.
