Five Rivers Analytics, an Akima company, is looking to hire a Clerical Support Specialist (Secretary II) performs mid‑level clerical and administrative support tasks for NSWC PCD offices, requiring greater independence, accuracy, and familiarity with Navy correspondence standards. This role supports multiple office functions, manages more complex documentation, and ensures efficient workflow across office processes while maintaining compliance with all security and records management requirements.


Responsibilities

  • Provide receptionist and telephone support, determining the nature of calls and directing visitors appropriately.
  • Manage office electronic calendars, including meeting/event schedules and conference room calendars.
  • Track, populate, and maintain official documents in accordance with Government formats.
  • Prepare visit request forms, enter data into required systems, and coordinate security documentation.
  • Edit outgoing correspondence, reports, and memoranda for format, grammar, and compliance with SECNAV M‑5216.5.
  • Write non‑technical and moderately complex correspondence, white papers, and reports.
  • Maintain suspense systems, statistical data, and office records.
  • Support budget report preparation by organizing required information.
  • Assist with maintaining databases such as plant and minor property records.
  • Attend office meetings and prepare accurate meeting minutes.
  • Use Microsoft Outlook and Teams to send and retrieve messages, clearly identifying contractor status.
  • Support the organization of clerical processes within the office and subordinate offices.

Qualifications

  • US Citizen active Secret clearance (or ability to obtain an Interim Secret prior to start).
  • High school diploma required; associate degree preferred.
  • 3–5 years of administrative or clerical experience in a professional environment.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience preparing and editing official correspondence.
  • Ability to manage multiple tasks and meet deadlines.
  • Eligibility for CUI clearance; experience handling sensitive and PII information preferred.
  • Familiarity with Navy or DoD administrative processes is a plus.
